The shift available is Monday to Friday from 8:00 a.m. – 4:30 p.m.

The West Chester University Payroll Office is a dedicated team of professionals committed to paying university employees on-time and accurately, providing university employees with reliable, responsive, and timely customer service, retaining knowledgeable staff who understand payroll processes from start to finish, utilizing technology effectively in the operation of the payroll function and supporting the University in its efforts to achieve its mission.
As a key Accounting and Payroll team contributor, the incumbent serves as the Fiscal Assistant, providing support to the department, university, and its employees. The ideal candidate is a creative problem solver who can work independently to organize work and set priorities to meet deadlines driven critical assignments while providing excellent customer service.
Responsibilities Include:
- Monitor mailboxes and investigate and resolve employee issues or forwards email requests to appropriate area
- Initiate workflow in the shared Payroll Teams site, maintain and log tasks via teams for members of the payroll department, including Biweekly detailed time records (DTRs) not handled through Fiori My Timesheet
- Process employment verifications not handled through the work number, W-2 requests for separated employees or employees who did not elect electronic distribution, unemployment compensation verifications, etc
- Provide in person support to employees, as needed
- Assist with incoming calls by answering questions and directing them to the appropriate area, when necessary
- Set priorities, organize, and perform work to ensure smooth processing and accomplishment of tasks. Work with Assistant Controller when questions arise and to establish priorities
- Provide clerical and administrative support to the department
- Prepare invoices, deposit slips, and journal entries and utilize OnBase and SAP to record financial transactions
- Assist with the inventory of fixed assets and distribution of asset tags
- Function as support to the fiscal technicians with entry during peak times, including but not limited to summer camp employee setup in SAP and payroll audits
- Perform Employee level security calls for changes to Personal Identifiable Information (Direct Deposit Changes, W2 requests, etc.)
- Participate in the development of operational goals and objectives for the department, recommends, implements, and administers methods and procedures to enhance operation
- Recognize and handle appropriately sensitive and confidential information
- Ability to communicate effectively, organize data and files, and perform well under pressure and interruption
- Provide positive customer service when communicating/answering questions via e-mail, telephone or in person
- Perform related duties as required for both the Payroll and Accounting teams
Position Duties
- Two years of experience performing bookkeeping or clerical accounting work;
OR
- An associate degree in accounting or business administration including or supplemented by six credits in accounting;
OR
- Any equivalent combination of experience and training.
- Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel and Teams
Required Knowledge, Skills and Abilities:
- Considerable knowledge of bookkeeping principles and practices.
- Knowledge of modern office practices and equipment.
- Ability to perform detailed work with written or numerical data and to make arithmetical calculations rapidly and accurately.
- Ability to prepare routine and proceduralized financial reports and statements.
- Ability to plan, assign, review, and supervise the work of a small group of employees engaged in bookkeeping or clerical accounting operations.
- Ability to apply established methods to financial transactions
Minimum Qualifications
- Customer service experience
- Higher Education experience
- Payroll and Accounting experience
- Strong written communication skills
- Experience preparing journal entries, deposit slips, and invoices
- Proficiency experience with SAP and OnBase
Other Qualifications
Salary and benefits are dictated by the American Federation of State, County and Municipal Employees (AFSCME) collective bargaining agreement.
