This position is benefits-eligible and located in our Food and Nutrition Department, working 12-months a year- 8 hours per day/40 hours per week,   

Selection Procedure
Applications will be screened, and those candidates whose backgrounds best match the requirements of the position will be invited to participate in a competitive examination process, which may include any combination of the following: Training & Experience evaluation (T&E), multiple-choice question test, job-related performance exercise, and technical/ oral appraisal interview. Examination procedures are subject to change as deemed necessary by the Director of the Personnel Commission.
Candidates who pass all of the examination processes are ranked on an eligibility list according to their score(s). Selection for the position will be made from among the top three (3) ranks of candidates.  The eligibility list will be used for hiring purposes in other vacancies in the same, or equivalent, job classification and will be active for six (6) months (Merit Rule 50.100.1).

BASIC FUNCTION: 
Under the direction of an assigned supervisor, perform a variety of financial clerical functions in connection with assigned accounts such as accounts payable and accounts receivable.
 
DISTINGUISHING CHARACTERISTICS:
The Accounting Assistant II classification performs accounting clerical work in support of assigned accounts of moderate complexity such as accounts payable or support other accounting personnel in programs such as Food Service and Extended Student Services. The Accounting Assistant III class performs clerical work on more difficult accounts such as the revolving cash funds. The Accounting Assistant IV class performs accounting clerical work in support of more complex accounts requiring independent judgment and knowledge of District operations. The incumbents may provide work direction and guidance to others as assigned. The Accounting Assistant I classification is the entry level class and performs routine accounting clerical work under close supervision. Incumbents perform other clerical duties in support of office activities.

Position Duties

REPRESENTATIVE DUTIES:
Receive, sort, match and file invoices and purchase orders in preparation for payment. E
 
Audit transactions for receipt of materials and agreement of price, extension and terms. E
 
Verify prices and quantity on vendor invoices and prepare for payment; process invoices with proper vendor and account numbers; enter orders, receipts and transfers. E

Prepare and set up terminal for data entry; select correct screen for data entry. E
 
Receive bank deposits from school and other District departments; verify deposit amounts and by number; total deposit and transport slips to be released to armored car carrier. E
 
Record, stamp and file accounts payable data. E
 
Maintain auditable records and files for assigned program; tabulate data for reports; reconcile bank statements and vendor statements. E
 
Verify commercial warrants from the County Office for correct dollar amounts and remittance address prior to mailing. E
 
File payments, examine vendor reports, and make corrections as required. E
 
Confer with vendors regarding payments and warehouse personnel regarding receipt of goods; communicate with school or department personnel regarding individual purchases and related charges. E

Review vendor statements and reconcile outstanding payables. E
 
Maintain inventory system; enter orders and verify items, vendors, prices and quantity; track inventory received or processed; enter prices and products from bid quotations; print and distribute inventory records. E
 
Type various report forms and memoranda as directed.
 
Perform related duties as assigned.

Minimum Qualifications

Graduation from high school and one year of experience in the maintenance of financial or statistical records.

KNOWLEDGE OF:
Basic accounting principles and procedures.
Methods and practices of financial record-keeping.
Data entry devices, care and use.
Start-up techniques for data entry devices to perform specific functions.
Office practices and procedures including basic functions of computer operations, scheduling and job flow.
Bookkeeping methods and terminology.
 
ABILITY TO:
Perform accounting clerical work without immediate supervision.
Make mathematical computations with speed and accuracy.
Prepare accurate financial reports.
Operate office machines.
Type or input data at an acceptable rate of speed.
Understand and follow oral and written instructions.
Communicate effectively with District employees and the general public.
