About the Department

The Accounting Specialist/Cashier shall perform the duties as specified in conformity with policies as specified by  the Alabama Community College System Board of Trustees, Federal and State Regulations, and the Drake State Community & Technical College Faculty and Staff Handbook.

Salary:  Appropriate placement on the Alabama Community College System Board of Trustees
Salary Schedule: E3, Grade 04
Salary Range: $39,759-57251 (12 months, Non-Exempt)

Salary step placement is based on experience per Drake State's practice for awarding salary step credits.

Work Hours:  8:00 am - 5:30 pm Monday - Thursday and 8:00 am 12:00 pm on Friday

Position Duties

The Accounting Specialist/Cashier shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the Drake State Community  and Technical College Faculty and Staff Handbook. 

  • Receive and receipt all money received by the college. Prepare daily close-out and summary of cash register receipts.
  • Prepare and make daily deposit(s). Maintain college HOLD accounts.
  • Maintains cash receipts records and credits receipts to the proper accounts. 
  • Analyze accuracy and maintain student accounts receivable records, including posting payments and making necessary adjustments/corrections.
  • Perform general clerical and accounting duties for accounts payable, accounts receivable, and the general ledger.
  • Assist the Accountants in maintaining and balancing accounts. 
  • Provide general information and transfer calls. 
  • Prepare miscellaneous reports and projects as needed.
  • Assist with ?ling and general clerical duties.
  •  Serve as cashier.
  • Assist in the reconciliation of general ledger accounts.
  • Sort and distribute campus mail and post outgoing mail. 
  • Scan and index documents for the Business O?ce.
  • Complies with all policies and procedures of the Alabama Board of Trustees, the Alabama Community College System, and the College. 
  • Proven ability to prioritize tasks across multiple executives
  • Perform other work-related responsibilities as assigned by Senior Accountants, Chief of Accountants and/or the President. 

Minimum Qualifications

REQUIRED QUALIFICATIONS:

  • One (1) year of postsecondary education in Accounting, Business Administration, or other related business ?eld, required.
  • Associate's Degree in Accounting, Finance or Business Administration, or other related business ?eld, preferred.
  • One year of related work experience, required.
  • Experience in the use of Banner educational software, preferred.
  • Demonstrated interpersonal communication skills
  • Ability to process and maintain highly confidential information
  • Ability to work effectively with individuals of varying backgrounds, abilities, outlooks, ages, and nationalities
  • Proficient in Microsoft Office Suite and Internet capabilities
  • Excellent collaboration skills and ability to work as a member of a team
  • Demonstrated exceptional listening, verbal, written, organizational, interpersonal skills, and attention to detail.
  • Tracks and prepare monthly grant expenditures and monitor grant budget expenditures
PREFERRED QUALIFICATIONS:
  • Experience in general accounting principles
  • Evidence of effective oral and written communication
  • Ability to establish and maintain effective working relationships with other employees, students, and the public
  • Demonstrate ability to be a team player 
  • Administrative & organizational skills including strong calendar management, scheduling, travel and meeting coordination skills
