What you will be doing?

As your initial career assignment, you will support the priorities and vital functions of our shared services teams as a(n) Administrative and People Operations Coordinator.



What you will be doing:

AIS is seeking a polished, professional, and proactive individual to join our team as an Administrative & People Operations Coordinator in a high-visibility role that blends front desk operations with direct exposure to People Operations and senior leadership. This is a unique opportunity for an early-career professional with an interest in business, HR, or operations to gain broad experience at a growing, employee-owned tech company.

This role is ideal for someone who is energized by being the go-to person for office logistics and first impressions and equally excited to contribute behind the scenes on HR processes, events and special projects. While this position begins as a contract-to-hire role, we view it as a steppingstone to long-term growth at AIS.

Key Responsibilities:

Front Office & Workplace Experience

Serve as the first point of contact for AIS — welcoming guests, managing calls, and maintaining a professional, organized office environment.

Manage daily office operations including opening/closing, ordering supplies, stocking refreshments, and ensuring conference rooms and common spaces are ready for use.

Support facilities coordination by communicating issues to property management and following through to resolution.

Assist with setup, logistics, and cleanup for in-office meetings and events, including catering and supplies. Provide general administrative support for all onsite AIS employees.

This role is expected to be in person Monday through Friday from 8:30am – 5:30pm with occasional support for events outside of regular business hours.

Administrative & People Operations Support

Provide as-needed administrative support for leadership and core business functions.

Assist with common business processes such as employment verifications, expense reporting, and office communications. 

Support People Operations by assisting HR and Recruiting with scheduling, project coordination, records management, benefits administration, and employee support.

Help administer Workday, the AIS HRIS and Learning Management System, including data entry, reporting, and tracking employee activities.

Assist with new hire onboarding, including workspace preparation, systems access, employee communication, and welcome materials.

Gain cross-functional exposure with opportunities to take on expanded responsibilities over time based on performance and interest.

Role Qualifications:

  • Bachelor’s degree

  • 1–2 years of administrative or customer-facing experience (internships included)

  • Strong written and verbal communication skills with a professional presence

  • Organized, resourceful, and able to manage multiple tasks with attention to detail

  • Proactive and dependable. Someone who takes ownership and looks for ways to improve processes

  • Proficient in Microsoft Office and able to quickly learn new tools and systems

  • Interest in Business Operations

  • Ability to lift up to 25 lbs. and support in-person events as needed (occasional local travel may be required)

At AIS, we are committed to offering competitive and fair compensation that reflects the skills, experience, and contributions of each team member.

The targeted base salary range for this role is $44,000-$68,000 per year. Please note that this range is provided as a guideline and the final offer will be based on several factors, including but not limited to, skillset and competencies, level of experience, education, certifications, and location.
