How you’ll contribute 

An Administrative Assistant who excels in this role:

  • Serves as the Administrative Assistant to the Vice President/Chief Nursing Officer and Vice President/Chief Financial Officer.
  • Provides administrative support to Nursing Supervisors and Clinical Coordinators.
  • Maintains primary responsibility for all clerical functions within Nursing Administration.
  • Provides comprehensive typing and document preparation services, including meeting minutes, policies and procedures, check requests, position postings, and leave requests.
  • Maintains primary responsibility for all Nursing Administration recordkeeping functions, including payroll processing and timekeeping system administration.
  • Serves as a resource for Nursing Services personnel by assisting with check request submissions and verifying expense reports for approval.
  • Sorts and distributes all hospital mail.
  • Operates the postage machine and maintains related supplies and service requests.
  • Acts as a liaison among Nursing Administration, other departments, employees, medical staff, and external agencies by managing calendars, coordinating meetings and appointments, arranging travel, distributing email communications, and providing software support.
  • Coordinates, facilitates, and records minutes for departmental meetings, including notifying physicians, compiling agenda materials, distributing meeting documentation, and preparing PowerPoint presentations.
  • Provides administrative support to the President/Chief Executive Officer and Vice President/Chief Operating Officer in the absence of their Administrative Assistant or as needed.
  • Assists the Chief Nursing Officer and Chief Financial Officer with daily administrative duties, including screening calls, preparing correspondence, maintaining calendars, and coordinating travel arrangements.
  • Performs routine administrative duties, including ordering office supplies and maintaining department software applications.

 

What we’re looking for 

Education:

  • High School Graduate or equivalent is required. 
     

Skills:

  • Critical thinking skills, decisive judgment and the ability to work with minimal supervision. 
  • Must be able to work in a stressful environment and take appropriate action.
     

Work Experience:

  • A minimum of three years’ previous clerical experience.
