JOB SUMMARY

We are seeking an Administrative Assistant in support of a department or group of professionals, regularly required to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced. 

 

JOB DUTIES AND RESPONSIBILITIES

  • Managing Qgenda for Wake County Division to include Duke Women’s Cary and Holly Springs.
  • Facilitate onboarding of new faculty and staff.
  • Facilitate Surgery Scheduling for divisional providers.
  • Organize and maintain divisional or departmental files of records, reports, and correspondence required for reference and efficient operation of division or department: maintain up-to-date management and procedural manuals, directives, and related records; compile and summarize data and assist in preparing regular and special reports requiring analysis and evaluation of data; review reports received for supervisor; check and compare with source documents and bring significant items, changes, errors or omissions to the attention of the supervisor.
  • Prepare letters and statements  portion or all of which may be composed or compiled on the basis of personal knowledge or subject matter; prepare inter-departmental memoranda explaining new or revised policies and procedures as necessary.
  • Apply knowledge and skills to resolve complex and routine administrative problems in conjunction with the division chief and health center administration.
  • Arrange for and schedule appointments and meetings for supervisor; interview callers; answer questions concerning departmental or divisional activities; transmit instructions and/or information to and from staff members; serve as liaison with internal and external agencies; make proper referrals as necessary; prepare materials anhd make arrangements for conferences and travel; prepare necessary documents for supervisor’s use in meetings; may attend meetings to take minutes or provide information as requested. Advise or direct secretarial, clerical or other personnel in the department of division; make work assignments and review work for accuracy and completeness. 
  • Attend monthly division staff meetings and record minutes.

 

JOB ELIGIBILITY REQUIREMENTS

  • High school education or equivalent. Two years post-secondary education in a business related field preferred. 
  • Two years of administrative support experience of increasing variety and/or complexity.
  • Excellent communication, computer and muti-tasking skills.
  • Desire to deliver outstanding customer service with each and every interaction.
  • Detailed oriented, conscientious and take pride in ensuring accuracy in your work.

 

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
