About this role

Grain Valley Schools is seeking a detail-oriented and service focused Departmental Administrative Assistant to support the day-to day operations of the Human Resources Department.  This role plays a vital part in ensuring smooth, efficient HR processes while providing exceptional support to employees, applicants, and community members.   

 

Essential Duties and Responsibilities:

  • Greet and assist internal and external customers with Human Resources inquiries in a professional and welcoming manner
  • Maintain district personnel files, both hard copy and electronic, ensuring accuracy and confidentiality
  • Complete employment verification requests in a timely manner
  • Coordinate benefit enrollment for new hires and assist with the annual open enrollment process
  • Support new hire orientation and onboarding activities
  • Prepare and process purchasing requisitions for the department
  • Process tuition reimbursement requests for certified staff
  • Create and manage employee ID badges
  • Provide general administrative and operational support to the Human Resources Department
  • Perform other related Human Resources duties as required and assigned

           

Requirements, Skills, and Abilities: 

  • Previous clerical or administrative experience required, experience in Human Resources preferred
  • High school diploma or equivalent required; post-secondary coursework or degree in Human Resources, Business Administration, or related field preferred
  • Basic understanding of HR functions including, onboarding, benefits administration, employee records and compliance
  • Strong organizational, time management and multi-tasking skills
  • Ability to learn new procedures, processes and district HR software systems; experience with HRIS and applicant tracking systems is a plus
  • Proficiency in Microsoft Office; experience with Google Workplace preferred
  • Ability to organize work, set priorities, and perform effectively in a fast-paced environment
  • Excellent customer service skills with the ability to address issues promptly and professionally
  • Strong written and verbal communication skills for interactions with both the public and district employees
  • Professional, courteous demeanor when working with employees, applicants and external partners
  • Demonstrated ability to handle sensitive information with the highest level of confidentiality

 

Work Environment:

  • 12-month, full-time position
  • Reports to Director of Human Resources
