Duties:


  • Performs clerical, secretarial and administrative duties. Assignments generally involve work of a confidential nature and require knowledge of the practices, policies and procedures of the company, group and/or department.
  • Participates in and documents routine housekeeping inspections in all facility areas. 
  • Maintains and publishes facility operations vacation and leave schedule. 
  • Reports training metrics and statistics at routine management meetings. 
  • Typically uses common word processing, spreadsheet and presentation software. May use database, graphics, and desktop publishing software.
  • Maintains files, keeps records, and prepares schedules.
  • Knowledge and understanding of basic instructor qualifications and standards
  • Knowledge of working with outside auditing and oversight groups including DNFSB, DOE, and other regulatory agencies
  • Knowledge of the Company organizational structure
  • Ability to review and approve training materials utilized in the field
  • Assembles and analyzes information, prepares reports, manuals, agendas, correspondence and memoranda
  • Answers mail and inquiries on own initiative, follows up with other departments to ensure that requests are carried out.
  • Coordinates activities across departments.
  • Arranges and makes notifications of appointments and travel reservations/arrangements.
  • Answers telephone calls, tactfully handles inquiries and/or transfers calls to appropriate party
  • Prepares, reviews and processes expense reports.
  • May take dictation and transcribe notes for letters, memos, or reports.
  •  Prepares materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combine materials from several sources.
  • Plans layout of complex reports and statistical tables.
  • Interfaces with other administrative staff to share or coordinate workload.
  • May perform special projects that pertain to departmental and/or company goals as directed by supervisor

Job-Related Qualifications Required:

Grade 4:

Education: High school diploma or equivalent required, with advanced secretarial training preferred.

Experience: 4+ years of relevant experience required. Requires working knowledge of commonly used PC applications such as word processing, spreadsheets, and databases. Requires working knowledge of departmental and company policies, experience across multiple organizations and functions is preferred. 

Grade 5:

Education: High school diploma or equivalent required, with advanced secretarial training preferred.

Experience: 8+ years of prior related experience; with at least 1 year of experience with UCOR or other DOE contractor preferred. Requires advanced working knowledge of commonly used PC applications such as word processing, spreadsheets, and databases. Requires broad working knowledge of departmental and company policies, procedures and programs; experience across multiple organizations and functions is preferred


  • Excellent written and oral communication skills.
  • Knowledge of technical vocabularies and terminology common to the assignment.
  • Demonstrated knowledge of administrative functions, including budget and financial functions. 
  • Basic skills in training and supervision of personnel. 
  • Ability to develop and analyze information for studies and reports. 
  • Knowledge of UCOR’s organizational structure, functions and procedures. 
  • Advanced knowledge of software applications, creating spreadsheets with mathematical functions, and enhancing presentation reports
  • Ability to obtain and maintain a Q clearance is a requirement of this role. 


PREFERRED:

  • Direct experience working at UCOR or other DOE sites.
  • Familiarity with UCOR policies/procedures and organization structure.
