Major Duties

Under general supervision, the Administrative Assistant for Residential Life provides administrative, financial, procurement, payroll, and operational support, coordinates communications and recruitment activities, maintains records and databases, assists with budgeting and compliance, supports Residential Life programs, and provides work direction to student assistants.

  • Provides comprehensive administrative and clerical support to the Residential Life unit within Student Housing and Residential Life.
  • Serves as a primary point of contact for customer service, responding to inquiries from students, staff, and external stakeholders.
  • Coordinates recruitment logistics for Residential Life professional and student staff positions by managing interview schedules, communicating with candidates, and serving as a liaison between search committee chairs and applicants to ensure a seamless recruitment process.
  • Processes invoices and ensures timely payment by tracking each invoice through completion. Performs monthly reconciliation of financial records and proactively identifies and resolves discrepancies.
  • Processes time reporting for Residential Life staff by tracking employee timesheets, monitoring absence balances, and verifying self-reported time within the campus payroll management system.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.
  • Experience in Higher Education and /or Student Housing and Residential life is preferred.
  • Experience working with and leading student assistants is a plus.

 

Knowledge, Skills, & Abilities

  • Excellent organizational and administrative support skills with exceptional attention to detail.
  • Ability to prioritize multiple assignments while meeting deadlines in a fast-paced environment.
  • Strong customer service and interpersonal skills with the ability to communicate effectively with diverse populations.
  • Knowledge of financial, procurement, payroll, and recordkeeping processes and the ability to maintain accuracy and confidentiality.
  • Proficiency in Microsoft Office Suite and the ability to learn and utilize university administrative systems.
  • Ability to exercise sound judgment, work independently, and coordinate projects while providing work direction to student assistants.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: 1032 / ASA / Grade 2
  • The anticipated HIRING RANGE is $3565 – $3936 per month, dependent on qualifications and experience. The salary range for this classification is: $3565 - $5092 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.  
  • This is a Regular position with a one-year probationary period.
