The Administrative Coordinator servces as key operational partner to the Talent Consulting team, providing high-quality administrative and coordination support that enables efficient, well-executed work in service of the organization's business and talent strategies.  This role supports four Talent Consulting leaders through calendar management, meeting and event coordination, communciations, research support, and follow-up on priorities and action items.  The coordinator also partners with team members to maintain consistency across deliverables, prepare presentations and reports, and support weekly team rhythms and multi-day team sessions.  Success in this role requires strong organization, sound judgment, discretion, and the ability to manage multiple priorities with accuracy, professionalism, and responsiveness in a fast-paced environment. 

Responsibilities:

Administrative & Operational Support

  • Provide day-to-day administrative support for Talent Consulting leaders, including calendar coordination, meeting scheduling, and logistics for team meetings, offsites, and events.
  • Prepare and distribute agendas, materials, and follow-up communications, and track action items to support timely completion.
  • Support team rhythms, including weekly meetings and development sessions, through preparation, facilitation support, note capture, and documentation.
  • Maintain organized digital files, shared resources, and documentation to ensure accessibility, accuracy, and consistency.
  • Manage administrative processes from intake through completion, ensuring accuracy, timely execution, and proactive follow-up.
  • Resolve routine administrative issues independently and escalate risks with clear context and recommended next steps.

 

Coordination & Communication

  • Serve as a point of coordination for internal stakeholders, ensuring clear communication, seamless handoffs, and timely follow-up.
  • Draft, format, and distribute internal communications, presentations, and materials aligned with team standards.
  • Prepare leaders for meetings, presentations, and engagements through research, material preparation, and logistics support.
  • Maintain consistency across administrative processes, tools, and templates for the Talent Consulting team.
  • Identify and implement opportunities to improve workflows and increase team efficiency.
  • Build strong working relationships across teams to support collaboration, trust, and effective partnerships.

 

Financial & Logistical Support

  • Provide support for expenses, invoices, travel coordination, purchasing, and budget tracking in alignment with enterprise processes.
  • Coordinate onboarding logistics for new Talent Consulting team members, including access setup, scheduling, and cross-functional support.  

 

General Team Support

  • Model professionalism, responsiveness, and care in all interactions.
  • Exercise sound judgment and discretion, including appropriately directing calls, meeting requests, and other requests for leader time.
Required Qualifications (Knowledge, Skills, & Abilities):
  • Proficiency in Microsoft Office Suite, including PowerPoint, Excel, Outlook, and Word
  • Experience in administrative, coordination, or operational support roles
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Ability to handle sensitive information with confidentiality and discretion
Preferred Qualifications (Knowledge, Skills, & Abilities):
  • Experience supporting multiple leaders or a fast-paced team environment
  • Strong written communication and presentation formatting skills
  • Experience coordinating meetings, travel and team events
  • Ability to improve workflows and maintain consistent team processes
  • Experience supporting business operations in a corporate or professional services environment
