
Job Title: Human Resources Secretary – Administrative 1B (Grade 10B)

Reports To: Director of Human Resources or Designee
Job Summary:
The Human Resources Secretary provides clerical, administrative, and customer service support to the Human Resources Department. This position is responsible for maintaining confidential employee records, assisting with HR processes, and ensuring efficient day-to-day office operations while exercising discretion and professionalism.
Essential Duties and Responsibilities:
- Provide administrative support to Human Resources staff, including scheduling meetings, preparing correspondence, and maintaining calendars
- Assist in maintaining and updating employee personnel files in compliance with district policies and legal requirements
- Assist with onboarding and offboarding processes, including preparing new hire packets and processing separation documentation
- Respond to employee and public inquiries, directing questions to appropriate HR personnel as needed
- Monitoring the HR Mailbox and responding and/or forwarding responses to appropriate employee(s)
- Prepare and process HR-related documents such as contracts, letters, and reports.
- Assisting with Department of Labor Audits
- Assisting with reconciliation of District employee attendance, which includes sick, personal, military, and court leaves
- Processing Verifications of Employment (VOE's)
- Assist with recruitment activities, including posting positions, coordinating interviews, and communicating with candidates
- Maintain confidentiality of sensitive employee and organizational information at all times
- Organize and maintain filing systems (electronic and paper)
- Assist with compliance reporting and audits as directed
- Perform general office duties such as copying, scanning, and managing correspondence
- Support special projects and other duties as assigned by the Human Resources leadership team
Qualifications:
- High school diploma or equivalent required; associate degree or coursework in business or human resources preferred
- Prior clerical or administrative experience, preferably in a Human Resources or school district setting
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry systems
- Ability to handle confidential information with discretion and professionalism
- Strong attention to detail and accuracy
Working Conditions:
- Office environment with regular interaction with staff and the public
- May require extended periods of sitting, typing, and computer use
Physical Requirements:
- Ability to sit for extended periods
- Occasional lifting of files or materials up to 20 pounds
- Ability to operate standard office equipment
