Position Summary

The Allied Health Student Coordinator plays a central role in managing all aspects of the Allied Health student experience within Guthrie Health system. This position is primarily responsible for coordinating Allied Health student observation and clinical rotations, affiliation agreements, and onboarding processes to ensure a seamless and compliant educational experience. The Coordinator serves as the primary contact for Allied Health schools, supervising physicians, and site coordinators, facilitating communication and scheduling through the use of internal systems.

Key responsibilities include reviewing and processing affiliation agreements in alignment with Guthrie’s contract standards, coordinating student rotation placements, and managing all onboarding activities—such as checklist completion, EMR access, compliance verification, and orientation. The Coordinator develops and conducts student orientation sessions, ensuring all Allied Health students meet institutional and regulatory requirements before beginning clinical experiences.

Additionally, the position provides administrative support to the AVP Medical Education and assists with Allied Health Affiliations:  Manages approved requests, drafts using standard template, submits to affiliate, reviews proposed changes from affiliate, obtains departmental reviews; submits to AVP for review and approval to submit to contract review with legal; notifies affiliate and AVP of changes required; supports document to execution.  Updates Meditract and SmartSheet Affiliation Dashboard.

 

Education, License, & Cert

ASSOCIATES DEGREE PREFERRED.

 

Experience

Two years working with students pursuing clinical fields of study. WILL CONSIDER APPLICABLE MEDICAL EDUCATION EXPERIENCE. Excellent written and verbal communication skills, organizational skills, problem-solving skills, and ability to speak in public and to work independently required. Requires knowledge of medical terminology and extensive computer skills. Experience with highly confidential matters required.

 

Essential Functions

  1. Communicates with Allied Health school and professional school personnel to coordinate student observation and clinical rotation requests in a Guthrie Health Facility.

  2. Coordinates Allied Health Onboarding for all Allied Health students at Guthrie through use of the New Innovations portal and in coordination with supervising physician and site coordinators.

  3. Communicates with Guthrie Physicians and Site Coordinators for clinical rotation requests at Guthrie for all Allied Health students.

  4. Coordinates affiliation agreements for Allied Health students.  Directly responsible for student affiliation agreements through quality review of contracts and agreements using Guthrie standard contract review process; works collaboratively to resolve non-conformity with institutional requirements.

  5. Coordinates and manages the student rotation request process and onboarding checklist review for all Allied Health students.  Coordinates appropriate access to EMR, and other Guthrie resources as warranted and aligned with policy.

  7. Creates and distributes summary reports as requested by medical education supervisors.

  8. Supports Allied Health recruitment efforts by identifying students who have professional interests in areas aligned with Guthrie recruitment priorities.

  9. Develops, coordinates, and maintains the student orientation program to assure compliance with Guthrie Health requirements. Conducts orientation program for Allied Health students as needed.

  10. Manage Communication & Special Projects:  Develop and distribute program communications, maintain educational calendars and websites, coordinate special events, and support strategic initiatives related to regional Allied Health learner engagement.

 

Other Duties

1. Develops and maintains a student policy for the Student Affairs Office in the Department of Medical Education.

2. Maintains a digital personnel file for each student.

3. Coordinates an evaluation process for each student.
