Position Duties

MINIMUM QUALIFICATIONS EDUCATION: Any combination equivalent to: graduation from high school supplemented by course work in accounting or bookkeeping EXPERIENCE: Two years* general accounting experience. (*Pending PC Approval) KNOWLEDGE OF: Bookkeeping and financial record-keeping terminology, methods and practices. Preparation of comprehensive account reports. Accounting principles, practices and procedures. Modern office practices, procedures and equipment. District organization, operation and policies. Correct English usage, grammar, spelling, punctuation and vocabulary. Oral and written communication skills. Applicable sections of the State Education Code and other applicable laws. Interpersonal skills using tact, patience and courtesy. Operation of a computer and assigned software. ABILITY TO: Perform specialized accounting and financial record-keeping duties to assure accurate accounting of ASB and scholarship trust fund accounts. Balance accounts and reconcile bank statements. Interpret and apply rules, regulations, policies and procedures related to the District and applicable sections of the California Education Code and other applicable laws. Meet schedules and time lines. Prepare and maintain financial records and prepare reports. Collect monies pertaining to student functions. Operate standard office and store equipment including calculator, typewriter, computer and others. Make arithmetic calculations quickly and accurately. Understand and follow oral and written directions. Establish and maintain cooperative and effective working relationships with others. Plan and organize work. Work independently with little direction. Type and input data at an acceptable rate of speed. ENVIRONMENT: Office environment. Constant interruptions. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer keyboard. Seeing to read a variety of materials. Hearing and speaking to exchange information in person and on the telephone. Bending at the waist, kneeling or crouching to retrieve and file materials.

Minimum Qualifications

Perform specialized accounting and financial record-keeping duties to assure sound fiscal management of student body and other student-related accounts accounts; assure compliance with applicable provisions of the California Education Code. E Collect and receipt monies related to student functions including club accounts, ASB funds, bus passes, testing fees, yearbooks, field trips, athletic events, student activities, ASB cards and a variety of other fees; count and record monies into proper accounts; prepare and make bank deposits; sell bus passes, dance, sports and other student activity tickets, cards, yearbooks and other items related to student functions. E Prepare and maintain financial records for student body activities, clubs and the associated student body; assemble, tabulate, check and file ASB and financial data including invoice and purchase order files, savings and checking account records; prepare a variety of reports including reconciliations, balance sheets, trial balances and revenue potentials. E Maintain petty cash; distribute funds; post to appropriate accounts; process checks for reimbursement. E Perform financial duties for the school abatement account. E Process monthly closing of ASB and other assigned accounts; post earned interest; prepare related reports. E Prepare, issue and process ASB purchase orders; disburse funds; utilize a computerized system to input checks, purchase orders and invoices related to financial responsibilities of a variety of student body activities; verify amounts and obtain proper signatures; mail checks in a timely manner. E Prepare financial files, records and reports related to assigned activities; prepare files for storage; prepare special financial reports for advisors/sponsors as needed. E Assist student council with organizing activities; meet with club advisors to assist in organizing upcoming events; coordinate and organize cash boxes for activities and athletic events. E Communicate with suppliers, vendors, parents and others regarding procedures and related matters; communicate with department heads and administrators regarding student activities, collection of monies, auditing, budgeting and to exchange information; respond to requests for information and complaints as needed. E Operate a variety of office equipment including a typewriter, printer, copier, calculator, computer, and assigned software; E Train and provide work direction to student assistants as assigned. Assist auditors as needed. Perform related duties as assigned.

Current employees will receive additional preference points based on longevity before placement on the list. The top 3 ranks of Eligibles will be certified for a hiring interview. SCREENING PROCESS The screening process for this position, which may be subject to modification, will include some form of a(n): application screening, initial qualifications screening, documentation/certification screening, and supplemental application screening. EXAMINATION PROCESS The examination may consist of any combination of a(n): training and experience (T&E) evaluation, written knowledge test, hands on/performance test, structured panel interview, situational judgement interview, or other type of exam of fitness for duty. All parts of the examination process are job related. A passing score must be attained on each portion of the exam to advance to the next stage and ultimate placement on an eligibility list. EXAM PROTESTS Protest of any part of the exam process must be in writing and submitted to the Personnel Director no later than five (5) working days from the date you participated in the exam. Any protest must include rationale to support the protest and shall include supporting documentation or references. Protests must be based on illegal discrimination, abuse of discretion, or procedure/process error. Protests should NOT be based on receiving unexpected results. ESTABLISHMENT OF ELIGIBILITY Candidates who are successful in all screening and testing stages will be placed on an eligibility list. Typically, an eligibility list for a classification expires after six (6) months or one (1) year. Candidates on the expired eligibility list are no longer considered for positions within the class. Eligibility lists may be extended beyond one year or expire sooner than one year. Eligibility lists may be merged, in which case candidate ranks may change. SELECTION PROCESS Candidates on the eligibility list will be called in rank order to participate in final selection interviews with the hiring manager until three ranks of candidates have accepted the invitation to interview. Ranks may include ties so more than three candidates may be called to interview for one vacancy. Please note that candidates will be removed from the eligibility list for declining the invitation to interview more than three (3) times. ADVANCED STEP PLACEMENT All new regular classified employees shall be paid in accordance with the salary range established for the class to which assigned. Initial placement will normally be the first step of the salary range. However, a new employee may receive advanced step placement with an approval from Human Resources. Requests for advanced step must be submitted in writing to the Human Resources office before the employee's first day of work. Approval will be based on the following criteria: A) Additional qualifying experience beyond that required for entry into the class. B) Additional education at the college level when related to the position, beyond the established educational requirements for entry into the class. C) Evidence of currently receiving a salary greater than the first step of the salary for the classification.
