The hiring range for this position is $18.14 to $23.80. Actual compensation depends on experience, skills, and internal equity.
The Unit Secretary/Scheduler will implement and monitor staffing schedules to support resident care in Assisted Living. The role will provide high-quality administrative assistance to the team in Assisted Living to ensure seamless operations to include compliance with VDSS regulations. They will maintain the confidentiality of any resident’s documentation and protected information, supply high-quality assistance and exceptional customer service to staff, visitors and other guests while following all established protocols and procedures.
Requirements
MAJOR ACCOUNTABILITIES/ESSENTIAL JOB DUTIES:
- Greet and assist visitors to Assisted Living and provide exceptional customer service, including telephone communication
- Ensure confidentiality of Protected Health Information (PHI)
- Obtain and prepare documents for medical record scanning and complete scanning during required timeframe
- Participate and comply with all internal and external regulatory requirements
- Participate in chart audits including scanned medical documents
- Complete data entry of resident charges, through Orbits, to ensure proper billing
- Use and adapt to new technologies, including tools, equipment, methods of application, computerized systems and processes, etc., to impact productivity of department and services; keep job-required technical skills up to date
- Present and always communicate in a professional and effective manner, modeling desired behaviors expected by employees of the organization and Assisted Living
- Ensure staffing patterns and schedules for all nursing staff are met; coordinate and schedule staff to meet needs of service
- Secure personnel for absences and adjust schedules as required to ensure quality resident care
- Develop and maintain schedule utilizing designated staffing software
- Responsible for Assisted Living timekeeping and payroll
- Maintain records on vacation, sick leave, leave of absence, holidays
- Assist in coordinating educational in-services and clinical training for all staff
- Additional duties as assigned
REQUIRED KNOWLEDGE, SKILLS AND ABILITY:
- Strong customer service and interpersonal skills
- Effective written and verbal communication skills
- Ability to make sound decisions and choices based on objective analysis of a situation without direct supervision using established procedures and precedents
- Good working knowledge of Microsoft Office programs, including Outlook, Word, Excel, Power Point
- Ability to multitask in a fast-paced, dynamic environment
- Ability to complete assigned tasks on schedule and with a high attention to detail
- Ability to communicate effectively; to collaborate with team members and other departments
DESIRED KNOWLEDGE, SKILLS AND ABILITY:
- Proficient in medical documentation systems
- Experience working with Orbits
- Experience working with Kronos or similar HRIS/timekeeping software
- Experience working with On-Shift or similar scheduling software
- Experience working with MatrixCare (formerly Answers on Demand (AOD) systems)
REQUIRED EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent
- Two years of directly related experience
DESIRED EDUCATION AND EXPERIENCE:
- Associate degree or bachelor’s Degree
- Experience working in a healthcare or retirement environment
