About this role
This position provides administrative and clerical support to the Construction Business Services Permit Applications team. The Permit Applications team supports the companys permitting needs. The successful candidate will interact frequently with internal and external customers, including various Westchester Municipalities, the NY State Department of Transportation (DOT), and other agencies. The reporting location is primarily based in Bronx; however the successful candidate may be required to travel to East View or other CBS locations as needed.
Responsibilities
- The selected candidate must possess excellent clerical and organizational skills, including computer-keyboarding skills.
- Strong interpersonal and telephone skills are required with frequent interaction with internal and external customers.
- Candidate must possess excellent competency in Microsoft Office (Excel, Word, PowerPoint, Power BI and Outlook).
- In addition, working knowledge of Company computer applications including NYCStreets, Westchester ROPES, CworX, Adept, eGIS Maps, EPS and Summons Workspace is preferred.
- The candidate will also be required to decipher basic information provided on construction drawings issued from various Engineering organizations.
- Duties include but are not limited to:
- Track and manage permit applications to support accurate scheduling, documentation, and reporting.
- Submitting and processing construction permit applications in NYCStreets, Westchester ROPES, ensuring all filings are complete and compliant with DOT standards.
- Preparing and assembling comprehensive job packages for contractors, ensuring all required documentation, and specifications are included.
- Providing timely updates to customers regarding the status of permit requests and any required followup actions.
- Preparing and submitting documentation packages needed to release DOT holds and advance project progress.
- Speaking with and emailing Westchester municipality representatives.
- Cross train on all clerical functions within the team.
- Must comply with the companys safety, health, and environmental programs.
- The candidate must be detail oriented, neat, and effective at meeting deadlines.
- Must be able to sit/stand at a stationary post for long periods of time.
- The candidate must be able to travel to various work locations as needed.
- Due to job requirements, the candidate must have excellent manual dexterity.
- Well organized, detail oriented, and flexible to handle multiple assignments without compromising quality.

- The selected candidate must be able to push/lift up to 25 pounds (boxes of paper, etc.) as well as stoop, bend, reach and kneel in order to file documents.
Qualifications
- High School Diploma/GED
- Ability to interpret basic information on drawings.
- Must be proficient in Microsoft Office including Word, Excel, Outlook and PowerPoint, etc.
- Ability to build strong customer relationships
- Demonstrated customer service skills
- Proficient in English written and verbal communication skills
- Driver's License Required
- Ability to push, pull, and lift up to 25 pounds
- Sit or stand to use a keyboard, mouse, and computer for the duration of the workday
- Possess manual dexterity and the ability to use hands for the duration of the workday
- Ability to stoop, bend, reach, and kneel throughout the workday
- Ability to read small print and symbols
- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
- Must sit or stand to answer a phone for entire shift.
