About this role

We are seeking a highly organized, proactive Construction Operations Coordinator to support our team of Project Managers throughout the lifecycle of residential and commercial restoration projects. This position serves as the operational hub between our office, field staff, customers, insurance carriers, and subcontractors to ensure projects stay on schedule, invoices are collected, documentation remains compliant, and communication is exceptional.

The ideal candidate has construction knowledge, thrives in a fast-paced environment, excels at problem solving, and can confidently manage multiple priorities while providing outstanding customer service. 

Responsibilities

  •  Coordinate daily activities between office staff and field Project Managers. 
  •  Monitor project progress and proactively identify scheduling or operational issues. 
  •  Communicate with homeowners, insurance adjusters, vendors, and subcontractors. 
  •  Ensure project documentation meets insurance carrier requirements. 
  •  Maintain compliance with multiple insurance program guidelines and documentation standards. 
  •  Collect payments and assist with accounts receivable throughout project completion. 
  •  Review project files for completeness and accuracy. 
  •  Assist Project Managers in resolving customer concerns and project obstacles. 
  •  Schedule inspections, meetings, and project milestones. 
  •  Maintain accurate job records within company software. 
  •  Support continuous improvement of internal processes and workflows. 
  •  Help ensure projects are completed on time, within budget, and to company standards. 
  • File pre-liens when necessary on projects.
Qualifications

Required

  •  3+ years of construction, restoration, or project coordination experience. 
  •  Strong organizational and multitasking abilities. 
  •  Excellent written and verbal communication skills. 
  •  Ability to solve problems independently and make sound decisions. 
  •  Comfortable collecting payments and discussing financial matters professionally. 
  •  High attention to detail. 
  •  Proficient with Microsoft Office and cloud-based project management software. 
  •  Ability to prioritize competing deadlines in a fast-paced environment. 
  •  In-office full-time position Monday-Friday
Preferred

  •  Experience in restoration, insurance repair, or general contracting. 
  •  Knowledge of insurance claims and carrier compliance requirements. 
  •  Experience with Xactimate, DASH, Encircle, PSA, JobNimbus, Buildertrend, or similar platforms. 
  •  Familiarity with construction workflows.

  •  Project Managers are supported and equipped to focus on field execution. 
  •  Customers receive timely communication and exceptional service. 
  •  Insurance documentation is accurate and compliant. 
  •  Payments are collected promptly. 
  •  Problems are identified and resolved before they become delays. 
Compensation: $25.00 - $35.00 per hour
