General Description and Classification Standards:
The Project Coordinator provides administrative, operational, and procurement support for the Procurement and Professional Support Services (PPSS) team within the Department of Watershed Management (DWM). This position is responsible for coordinating procurement-related activities, supporting vendor and customer relations, monitoring contracts and procurement processes, and ensuring compliance with applicable policies, procedures, and regulatory requirements.
Duties may include coordinating cross-functional activities, maintaining procurement documentation and records, assisting with contract administration, tracking project and procurement timelines, preparing reports and correspondence, and serving as a liaison between internal departments, vendors, and stakeholders.
The ideal candidate demonstrates strong organizational and communication skills, sound judgment, attention to detail, and the ability to manage multiple assignments in a fast-paced and deadline-driven environment.
Supervision Received:
This position may require you to work closely with other team members including your immediate supervisor and upper-level management. Works under direct supervision and follows standard procedures and written instructions to accomplish assigned tasks.
Essential Duties and Responsibilities:

- Serve as a primary liaison between DWM PPSS and vendors to support effective communication and issue resolution.
- Assist with vendor performance monitoring and evaluations.
- Support continuous improvement initiatives related to vendor services, contract compliance, and operational effectiveness.
- Maintain productive vendor relationships that contribute to quality service delivery and cost efficiency.
- Coordinate and track internal customer procurement requests across departments.
- Interpret departmental procurement needs and prioritize competing requests.
- Ensure procurement activities comply with established procedures, policies, and timelines.
- Provide consistent communication and status updates to stakeholders.
- Maintain procurement contract records and monitor key contract milestones, renewals, amendments, and compliance requirements.
- Assist in ensuring continuity of goods and services through proactive contract management.
- Support audit readiness efforts through accurate documentation and tracking.
- Identify and escalate potential compliance or contractual issues.
- Assist with procurement budget monitoring and office purchasing activities.
- Ensure documentation accuracy and adherence to fiscal controls and approved budgets.
- Support responsible stewardship of organizational resources through effective financial tracking and reporting..
- May perform other duties as assigned.

Knowledge Skills and Abilities:

- Proficiency with Microsoft Office Suite and procurement or contract management systems.

- Knowledge in procurement coordination, contract administration, vendor coordination, or administrative operations.
- Ability to work independently and exercise sound professional judgment.
- Knowledge of procurement principles, contract compliance, and vendor management practices.
Minimum Qualifications:
Education and Experience – Associate’s degree in related field and two (2) years of experience in the same or similar position (recent project coordinator-administrative coordinator position and/or training).
Licensures and Certifications - Entry-level knowledge of MS Project 2010 and SharePoint, Entry-level knowledge of project management practices.
Preferred Requirements - Experience supporting public sector procurement operations.
Experience with budget tracking and purchasing processes. Familiarity with audit preparation and records management.
