Executive Assistant III – Human Resources Leadership Support
The Executive Assistant III serves as a strategic partner to senior Human Resources leaders, providing high-level administrative, operational, and organizational support that enables leaders to focus on driving business and people strategies across Novant Health.
This role supports Human Resources Business Partner (HRBP) and Employee Relations leadership and is ideal for an experienced Executive Assistant who thrives in a fast-paced environment, enjoys managing competing priorities, and can be trusted with highly sensitive and confidential information.
More than a traditional administrative role, this position acts as a key liaison, coordinator, and problem-solver, ensuring leaders remain organized, informed, and prepared while supporting team events, travel logistics, meetings, and HR initiatives across the organization.
Work Location & Schedule
- Full-time position, Monday through Friday, 8:00 a.m. – 5:00 p.m.
- Hybrid work arrangement.
- Must be able to work on-site in Charlotte at least one day per week.
- Candidates should be located within commuting distance of Charlotte or be willing to travel to Charlotte regularly for in-person meetings and events.
What You'll Do
Executive Support
- Provide direct support to senior Human Resources leaders, managing complex calendars, scheduling priorities, and daily administrative needs.
- Coordinate meetings across multiple departments, teams, and time zones, ensuring leaders are prepared and informed.
- Manage shifting priorities and proactively anticipate scheduling conflicts or operational challenges.
- Serve as a trusted point of contact for internal stakeholders, leaders, and team members.
Meeting & Project Coordination
- Attend leadership meetings and take detailed notes, capturing key decisions, action items, and follow-up responsibilities.
- Prepare meeting materials, agendas, presentations, and supporting documentation.
- Track deliverables and follow-up items to help ensure projects and initiatives stay on schedule.
- Coordinate logistics for both virtual and in-person meetings and events.
Travel & Event Planning
- Manage complex travel arrangements for leaders, including flights, hotels, transportation, itineraries, and schedule coordination.
- Support leaders who travel frequently and require ongoing travel planning and adjustments.
- Coordinate HR leadership meetings, team gatherings, workshops, and special events.
- Arrange meeting spaces, catering, materials, and other event-related logistics.
Confidential Human Resources Support
- Handle highly confidential employee, organizational, and leadership information with professionalism and discretion.
- Support leaders within Human Resources Business Partner and Employee Relations functions, where confidentiality and sound judgment are critical.
- Maintain sensitive records and communications while ensuring appropriate security and privacy standards are followed.
Administrative Operations
- Support departmental operations through document management, reporting, correspondence, expense processing, and other administrative functions.
- Assist with special projects and initiatives that support Human Resources and organizational goals.
- Identify opportunities to improve processes and create efficiencies for leaders and teams.

Preferred Qualifications
- Minimum of three years of administrative or executive support experience.
- Experience supporting director-level leaders or above.
- Strong calendar management and meeting coordination skills.
- Experience arranging business travel and managing travel logistics.
- Exceptional written and verbal communication skills.
- Strong note-taking, documentation, and follow-up capabilities.
- Ability to manage multiple priorities with minimal supervision.
- High level of professionalism, discretion, and confidentiality.
- Experience supporting Human Resources, Employee Relations, healthcare leaders, or other highly confidential functions preferred.
- Proficiency with Microsoft Office Suite, including Outlook, Teams, Word, PowerPoint, and Excel.

- Education: High School Diploma or GED, required. 4 Year / Bachelors Degree, preferred.
- Experience: Three years of administrative support experience, required.
