JOB SUMMARY

The Facilities Specialist (Temp) serves as a key operational partner to the Facilities function, driving the execution, coordination, and continuous improvement of maintenance and support services across all retail locations. This role owns the end-to-end lifecycle of work orders, vendor performance, and facilities-related financial processes, ensuring timely resolution, cost efficiency, and regulatory compliance.

 

Acting as a central point of coordination between internal stakeholders and external partners, the Facilities Specialist Temp leverages data, systems, and cross-functional collaboration to optimize service delivery, enhance the in-store environment, and support business continuity. This role reports to the Facilities Manager and plays a critical role in scaling facilities operations through process discipline and proactive problem-solving.

 

ESSENTIAL FUNCTIONS

  • Own the intake, triage, prioritization, and resolution tracking of all store work orders, ensuring alignment with business priorities and service-level expectations.

  • Serve as the primary coordinator for third-party vendors, including dispatch, performance monitoring, and issue escalation, to ensure high-quality and timely service delivery across all locations.

  • Manage the full lifecycle of Facilities-related financial processes, including purchase orders and invoice processing within SAP, ensuring accuracy, compliance, and alignment with budget expectations.

  • Oversee and ensure execution of all required life-safety inspections (e.g., fire systems, alarms, sprinklers), maintaining strict adherence to regulatory requirements and service agreements (MSAs).

  • Coordinate and track preventative maintenance programs across all locations (HVAC, landscaping, snow removal, generators, etc.), ensuring completion, documentation, and vendor accountability.

  • Partner with Facilities leadership to analyze work order trends, vendor performance, and cost data; provide insights and recommendations to improve efficiency, reduce downtime, and optimize spend.

  • Drive continuous improvement of facilities processes, identifying opportunities to streamline workflows, enhance communication, and improve service levels for store teams.

  • Manage and optimize store supply fulfillment processes, ensuring timely delivery, inventory accuracy, and clear communication with field teams.

  • Coordinate logistics for home office and field operations, including small-parcel shipping, materials movement, and inventory handling.

  • Maintain organized and efficient storage and inventory systems, including receiving, tracking, and processing returns.

  • Collaborate cross-functionally with Facilities, Real Estate, Accounting, and external partners to ensure seamless execution of facilities operations and a consistent, high-quality store environment.

  • Provide support on special projects, new store openings, and facilities initiatives as needed.

 

QUALIFICATIONS

  • 3+ years of experience in facilities coordination, operations, or administrative support, preferably within a retail or multi-site environment.

  • Demonstrated ability to manage multiple workflows simultaneously, with strong ownership and accountability for outcomes.

  • Experience working with ERP systems (SAP preferred) and familiarity with work order management platforms.

  • Strong analytical mindset with the ability to interpret data, identify trends, and drive process improvements.

  • Excellent communication and stakeholder management skills, with the ability to effectively coordinate across teams and vendors.

  • Highly organized with exceptional attention to detail and the ability to thrive in a fast-paced, dynamic environment.

  • Proactive, solutions-oriented approach with a continuous improvement mindset.
