POSITION SUMMARY  

Function as often the first point of contact for all patients utilizing our facilities for health care. Manage the timely and accurate collection of important patient information, and function as a resource to patients entering the facility. 

 

PRIMARY ACCOUNTABILITIES 

Operational Excellence 

  1. Ensure and uphold the confidentially requirements of all patient records and manage all daily tasks and activities consistent with HIPAA, state and federal laws and regulations, as well as the clinic’s policies and regulations regarding confidentiality and security.  

  1. Assures that all payments issued are appropriate and documented as ordered and received. 

Relationships  

  1. Develop and ensure effective, positive relationships within and among the clinic staff, as well as with patients, vendors, contractors, and related resources.

  1. Ensure all actions, job performance, personal conduct and communications represent the organization in a highly professional manner at all times. 

  1. Uphold and ensure compliance with and attention to all corporate policies and procedures, as well as the mission and values of the organization.  

 

PRIMARY TASKS & DUTIES    

  • Manage/assist with all patient registration and administrative processes as assigned. Ensure all relevant patient registration records collected are accurate, current, and completed in a timely and accurate manner. 

  • Ensure all clients/patients served experience a high level of customer satisfaction and care. 

  • Provide support for additional administrative and support activities within the registration / business office, maintaining an acceptable level of productivity and consistency with all tasks as assigned. 

  • Performs various clerical duties in departmentAssist in preparation and maintenance of medical records as well as all intake/ patient information. 

  • Works with the electronic medical record to correctly verify insurance, update patient demographics, and check-in and check-out patients. Takes patient co-pays. 

  • Answers patient inquiries about their account information, insurance filing, co-pays, etc. or directs callers to appropriate department. 

  • Schedules visits, tests and procedures as directed. 

  • Utilize computers, printers, fax machines, phones, and other related office equipment in the fulfillment of assigned duties. 

  • Communicate verbally and/or electronically with staff members, patients and their families. 

  • Ensure all paperwork required for the registration process is prepared accurately and timely. 

  • Maintain accurate, thorough filing of all paperwork. 

  • Participates in meetings and training as required. 

  • Greeting patients/visitors professionally both in person and via phone. 

  • Professionally assist doctors, staff, visitors and patients as needed. 

  • Optimize provider schedules and patient satisfaction with efficient scheduling. 

  • Assist patients with completing required documents as needed. 

  • Understand all areas of the front desk; including check incheck out, and financial counselor department.  

  • Reconciliation of cash drawers at the end of each day to accurately reflect payments collected. 

  • Understand and adhere to all policies, procedures, and workflows. 

  • Keeps providers, clinical staff, and any other related staff abreast of scheduling, patient details, and potential service delays.  

  • Other duties, as assigned. 

 

ESSENTIAL FUNCTIONS/KEY COMPETENCIES   

  1. Function in a multi-tasking, multiple priorities environment, while maintaining accuracy and attention to detail.  

  1. Communicate with a diverse employee population.  Will be required to successfully manage stressful or conflict situations. 

  1. Utilize a wide variety of office technology and tools to collect, enter, process, file patient records and documentation. 

Requirements


• High School diploma or equivalent. Must be able to speak read, write and understand English.
Professional
• “Skilled” business office experience.
• Communication, customer service or working with the general public, preferably in a medical care 
facility.
• General computer competence including basic Word and potential to be trained on specific software 
for patient information, billing and communication.
• Knowledge of medical terminology preferred.
Physical/Environmental
• Ability to interact with computer screen for up to six hours at a time (visual acuity required).
• Must have manual dexterity for use of keyboard. Ability to remain stationary for periods of up to 
four hours. Ability to communicate via phone, mail and in person to resolve disputes, solve 
problems, etc.
• Capacity to function in a sometimes stressful, multi-tasking environment
