About this role

POSITION SUMMARY:

Provide administrative support to the Human Resources department. Assist with benefit enrollment, maintain teammate database and files, and ensure compliance with required benefit notices. Understand Fielmann USA’s policies, systems, and procedures and maintain a high level of internal customer service.


DUTIES AND RESPONSIBILITIES:

ADMINISTRATIVE SUPPORT

  • Assist with administration of teammate benefits, including regular plan audits
  • Coordinate benefits enrollment for new teammates and assist with changes for current teammates, as well as support the annual Open Enrollment process
  • Monitor ACA compliance, assist with the annual review of form 1095cs, and the completion of the company’s 1094c filing through ADP’s SmartCompliance tool
  • Review and respond to unemployment claims with appropriate documentation
  • Prepare and maintain teammate records to support all teammate transactions within the organization
  • Process teammate termination documentation including updating the HRIS database and sending notification to payroll
  • Administer tracking for all leave of absence (LOA) requests, return to work notices, disability claims, accommodation requests, and reconcile LOA premium payments
  • Administer Medical Child Support Orders
  • Answer frequently asked questions from managers and teammates relative to benefits, ADP, OCE, etc.
  • Distribute various HR communications to teammates via the HROptical email
  • Partner with HR teammates to support overall HR objectives and initiatives

 

PROJECT SUPPORT

  • Manage records retention
  • Manage HROptical email and department mail

Administer the ABO/OCE Certification process and manage tracking in ADP Talent Profile

 

MINIMUM KNOWLEDGE, EXPERIENCE & SKILLS REQUIREMENTS:

  • High School diploma or equivalent
  • Experience with HR processes; payroll, benefits, compensation, etc.
  • Solid knowledge of HR functions, policies, and procedures 
  • Experience with ADP Workforce Now preferred
  • Strong planning and organizational skills
  • Strong problem-solving skills to identify problems and develop solutions
  • Strong verbal and written communication and interpersonal skills
  • Strong attention to detail
  • Able to work collaboratively in a matrix environment
  • Able to thrive within a fast-paced environment
  • Able to maintain a high level of confidentiality
  • Proficiency in Microsoft Office Suite of programs


ESSENTIAL FUNCTIONS & WORK REQUIREMENTS:

  • Ability to effectively communicate at all levels within the organization through written and two-way verbal communication
  • Able to sit or stand for extended periods of time
  • Able to operate various office equipment (e.g., personal computer, telephone, fax machine, copier, etc.)
  • Able to read and write at a high school graduate level
  • Able to lift 10 to 20 pounds
  • Able to view/read computer screen for extended periods of time
  • Able to work normal and/or extended (evenings, nights, and weekends) office hours to meet established deadlines
  • Able to travel independently to support Company objectives and personal development
