Job Description 

The University of Wisconsin–Milwaukee (UWM) is seeking a detailoriented, servicedriven HR Coordinator to join our HR Shared Services team. This role is ideal for someone who enjoys working with data, supporting employees, and contributing to a collaborative and missionfocused HR environment. 

As an HR Coordinator, you will work closely with HR Business Partners to support the daily operations of the Human Resources function. You will play a key role in ensuring data accuracy, supporting recruitment processes, and serving as a primary point of contact for onboarding and employee inquiries. This position requires strong attention to detail, excellent communication skills, and a commitment to providing highquality service to employees across campus.

Key Job Responsibilities:

Contract Administration and Workday (45%) 

  • Support the HRBP in coordinating new, continuing, and revised contracts. 

  • Serve as the primary point of contact for preemployment and onboarding information for new employees, including collecting and validating identity documents and ensuring timely entry and credentialing (I9, EVerify, CBC). 

  • Review contracts for accuracy and compliance with UWM and UWS policies; assist with tracking contract end dates and coordinating extensions or required documentation. 

  • Introduce new employees to Employee SelfService (Workday) and required compliance modules as part of onboarding. 

  • Maintain responsibility for entering person, position, job, tenure, profile (e.g., degree and sabbatical), and additional pay data into Workday. 

  • Assist with generating and managing reports related to contract end dates, salary validation, audits, and other HR reporting needs. 

  • Process personnel action requests (e.g., FTE changes, department updates, compensation adjustments, classification changes). 

  • Monitor assigned reports and implement necessary corrections or updates (e.g., missing demographic information, error reports, position of trust status). 

Employment Support (45%) 

  • Collaborate with the HRBP, HR Specialist, and other offices on matters such as immigration status, salary changes, overloads, and other HR procedures. 

  • Maintain personnel files in accordance with applicable guidelines. 

  • Coordinate recruitment processes:  

  • Create and maintain Workday job postings 

  • Ensure compliance with Federal, UWS, and UWM retention guidelines for search materials 

  • Troubleshoot issues and maintain recruitment documentation 

  • Update and maintain applicant statuses in Workday 

  • Provide recruitment support to the HRBP or HR as needed 

  • Assist with employee offboarding and direct inquiries to appropriate parties when necessary. 

Compliance & HR Related Support (10%) 

  • Run system reports based on operational needs and cyclical events (e.g., budget cycle reviews, payroll processes). 

  • Participate in special projects that support the strategic plan and objectives of the HR function at UWM. 

Minimum Qualifications 

  •  A minimum of one year of experience working in a business office or administrative support role 
  • Experience utilizing Microsoft Office products (e.g., Teams, Word, Excel) 
  • Experience working with data management, data administration, and/or information systems  

Preferred Qualifications 

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent combination of education and experience by the date of hire 
  • Experience using human resources information systems (e.g., Kronos, PeopleSoft, Workday, applicant tracking systems) 
  • Demonstrated understanding of human resources principles and practices related to staffing, onboarding, and employee orientation 
  • Experience providing customer service, including responding to both routine and complex inquiries 
  • Demonstrated ability to work effectively and collaboratively with individuals and groups from diverse backgrounds and cultures 
  • Experience working within a public sector, higher education, or federal organization 

Target Salary Range: $21.00–$23.00 per hour 

Final compensation will be based on the candidate’s knowledge, skills, and experience.
