TITLE: Human Resources Secretary

REPORTS TO: Director of Human Resources

 


JOB GOAL

Responsible for personnel functions including hiring, policy administration and record keeping for all certified and noncertified staff. Plans, coordinates and supervises the operations of the Human Resources office. To serve as support staff to the educational staff within the District in order to achieve the goal of educating our students.

 

SUPERVISORY RESPONSIBILITY

NONE

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Orders necessary supplies and equipment for personnel activities
  • Types letters and forms concerning personnel matters
  • Receives incoming telephone calls and handles them appropriately
  • Assists the Director of Human Resources in usual office duties
  • Assists administrators/supervisors in viewing applications and/or records
  • Completes questionnaires from various agencies requiring verification of employment, salaries, and other  pertinent information and maintains files as required
  • Completes paperwork for retirement, workmen's compensation, background checks and maintains files as required
  • Profiles new hires in district computer system in conjunction with the Finance/Payroll dept.
  • Prepares Board packets on personnel matters
  • Demonstrates the ability to communicate and work with diverse groups of people
  • Works with contracted services in the updating of substitute system info
  • Performs other duties as assigned by the Director of Personnel

 

QUALIFICATIONS

A successful record of secretarial experience. Competent computer skills. Ability to perform clerical work requiring independent performance of duties and exercise of judgment in making decisions in accordance with established policies and practices. Ability to perform assigned job duties under general supervision and develop own routine necessary to carry work to completion.

 

EDUCATION AND EXPERIENCE

High school diploma or higher/ 2 years or more specific secretarial/clerical experience required.  Proficient computer skills required.

Ability to respond to inquiries or complaints.  Must possess excellent communication and interpersonal skills

 

  • PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to stand, walk, reach, bend and sometime lift up to 25 pounds.  Mobility skills are necessary to access a variety of work locations.

 

  • OTHER SKILLS

Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Must keep accurate, up-to-date records. Ability to define problems, collect data, establish facts, and draw valid conclusions.
