POSITION DESCRIPTION

 

Human Resources Assistant and Licensure Specialist

Pay Grade: 68

Months of Employment: 12



Reports to: Director of Human Resources

 

Purpose: To provide clerical and administrative office support for personnel services

 

Responsibilities:

 

  • Provide clerical support for the Director of Human Resources.
  • Serve as licensure contact for certified staff with DPI, including submitting licensure and renewal credit requests, and maintaining licensure files.  Also keeping track of employees with provisional licensure requirements.  
  • Initiate criminal background checks on all new employees and maintain files of reports.
  • Assist in setting initial salaries for all certified instructional staff based upon DPI salary schedules.
  • Post vacancy announcements in Applicant Tracker for all positions and post vacancy notices from other systems.
  • Respond to employment verification requests.
  • Maintain longevity records and submit to payroll for payment.
  • Maintain substitute files and disseminate lists to schools.  Also update subs in E-solutions Subfinder computer systems. 
  • Prepare teachers contracts and letters.
  • Complete state reports including SS200, SS300, New Hire Reports, Teacher Vacancy Report, and Teacher Turnover information.
  • Coordinate coaching contracts and submit to payroll for payment.
  • Maintain service records.
  • Maintain renewal credits for employees. 
  • Maintain updates and staff actions on the HR information system (LINQ)
  • Send employment letters following each Board Meeting.
  • Maintain BT & Probationary status lists and communicate information with school administrators.
  • Maintain Mentor/Mentee list information.
  • Maintain evaluation schedules and set up within the NCEES program for certified staff and file observations.
  • Assist with staff recognition programs and special events.           
  • Perform other duties as assigned.







Knowledge and Abilities:

 

  • Ability to maintain confidentiality.
  • Knowledge of general office practices.
  • Knowledge of basic bookkeeping and accounting practices.
  • Knowledge of purchasing and selection practices.
  • Knowledge of North Carolina Professional Educator Licensure (preferred)
  • Knowledge of LINQ and NCEES (preferred)
  • Ability to operate standard office machines.
  • Ability to use correct grammar, spelling, and mechanics in writing reports.
  • Ability to compare information accurately.
  • Ability to use basic computer software programs (Word, Google, etc.) and learn the use of more complex software.



Training and Experience:

 

  • High School Diploma and two years of employment in an administrative office or equivalent combination of education and work experience preferred.
  • Experience in an educational setting (preferred)
  • Training or experience in the use of Microsoft Office and Google products preferred.
