What are we looking for in a Human Resources Assistant?
The HR Assistant serves as a supporting resource to HR staff and employees across the organization on a range of human resources and employment-related matters. Assists with maintaining the HR information system, ensuring accuracy in employee records, benefits enrollment, and time and attendance data. Supports the day-to-day functions of the HR department, including recruiting coordination, new hire onboarding, document preparation, and records management. Responds to routine employee inquiries and escalates complex issues to the HR Generalist or HR leadership as appropriate.
Human Resources Generalist duties include:
- Responsible for personnel file maintenance and compliance and conducts routine driver record and criminal history background checks. Conducts reference checks and a variety of clerical functions.
- Accurately maintains personnel files, including accurate and timely filing of documents. Serves as a primary resource during external agency audits and surveys regarding file contents.
- Completes reference checking for prospective employees as requested by using the external background check platform, sending/receiving forms and/or making calls and accurately documenting information received directly from the reference.
- Maintains Driving Authorization data and submits Driving Record Requests in a timely manner. Monitors the database for the need to resubmit a Driving
Record Request or a change in privileges. Provides notification to employee and supervisor when driving privileges change. Communicates with employees regarding updating expired licenses and obtaining proof of insurance following renewal.
- Enters updated information for various documents into the electronic credential tracking system in an accurate and timely manner.
- Obtains and reviews routine criminal history background checks. Coordinates routine criminal history background check fingerprinting process as applicable.
