Qualifications
Required
- Associate’s degree in human resources, Business Administration, Healthcare Administration, or related field, or equivalent combination of education and relevant work experience.
- Minimum 1 year of administrative or HR support experience.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong organizational, communication, and customer service skills.
- Ability to maintain strict confidentiality of employee and organizational information.
Job Summary
The HR Assistant provides clerical and administrative support to the Human Resources Department. This entry-level role is the first point of contact for applicants and employees and supports HR operations by assisting with applicant check-in, documentation, and employee engagement activities. The position contributes to a positive candidate and employee experience while supporting HR staff in day-to-day functions.
Essential Duties and Responsibilities
Applicant and Interview Support
- Greet and check in job applicants for interviews.
- Provide information about the hospital and the interview process in a friendly and professional manner.
- Assist with scheduling interviews and coordinating interview logistics.
- Ensure applicants complete all required pre-employment documentation.
Documentation and Record Support
- Assist HR staff with preparing, organizing, and maintaining employee and applicant documents.
- Scan, file, and enter documentation into HR systems as needed.
- Support HR team with basic administrative tasks such as copying, mailing, and document distribution.
- Complete Employment Verification.
Employee Engagement Support
- Assist with the planning and coordination of employee engagement and recognition events.
- Support HR initiatives that foster a positive workplace culture.
- Help prepare materials for training sessions, meetings, or employee events.
General Administrative Support
- Answer HR phone lines and respond to routine inquiries.
- Maintain an organized and professional reception and HR office area.
- Perform other administrative tasks as assigned to support HR team efficiency.
Physical Demands
- Primarily sedentary work with extended periods of sitting and computer use.
- Occasional lifting of up to 25 pounds may be required.
- Frequent walking throughout the hospital, keyboarding, and telephone use.
Cognitive Demands
- Ability to prioritize, problem-solve, and manage multiple tasks effectively under deadlines.
- Strong attention to detail and accuracy.
- Capacity to learn new systems and processes quickly and share knowledge with team members.
- Ability to exercise independent judgment while following established HR policies and procedures.
Work Demands
- Work is performed in a climate-controlled office environment within the hospital.
- Requires both independent work and collaboration with the HR team.
- Flexibility to adjust work schedule occasionally to accommodate fluctuations in workload or departmental needs.
