About the Department

This position is in the Office of Human Resources, at SCDMV Headquarters, Blythewood, SC.
Responsibilities of the Human Resources Assistant
- Coordinates the Temporary Separation and Rehiring Process for Headquarters and all Branch Office Regions. Ensures that all temporary employees are separated from the agency within one year of their start date. Collaborates with managers, supervisors, and Human Resources to ensure all documentation related to pending separations is processed accurately and in a timely manner.
- Manages the On-the-Job Training (OJT) process through SC Works, including routing all contracts for approval to Human Resources and General Counsel for Headquarters and all Branch Services Regions. Retrieving copies of timesheets from SCEIS for the regions that require additional proof of working time. Ensures that all timesheets are routed, updated by management teams, and forwarded to SC Works in a timely manner. Logs and routes all OJT reimbursement funds received from SC Works to the Finance Department.
- Prepares new hire orientation folders and required onboarding paperwork. Responsible for the inventorying and ordering orientation supplies from IDVille and other approved vendors. Maintains I-9 forms and all required documentation for current and separated DMV employees. Ensures all I-9 forms are entered into the E-Verify system within three days of the employee’s orientation date. Runs E-Verify reports and reviews cases to determine which issues require escalation or additional review by Homeland Security.
- Sends regret notifications as part of the agency’s hiring process. Closes out and archives vacancies in the hiring system. Schedules interviews and coordinates interviewees’ movement to and from interviews upon management request.
- Coordinates the Non-Paid Work Experience (NPWE) Program, which includes Vet Success, Vocational Rehabilitation, Volunteers, and Interns for the agency, encompassing Headquarters and all branch office regions. Assists in recruiting suitable candidates for offices that express interest in employing an NPWE participant.
- Assists in coordinating career and job fairs, as well as on-site hiring events. Communicates with S.C. Works and Strategic Communications to ensure a smooth, efficient, and well-coordinated process. Assists in career/job fairs and on-site hiring events. Communicate with S.C. Works and Strategic Communications to ensure a smooth and workable process. Responsible for the inventorying and ordering of job fair supplies from multiple vendors. Opens, sorts, and delivers mail to Human Resources.
- Assist in the daily job posting process as needed. The process includes posting, disseminating, communications, following up, updating, logging, reposting, reconciling and closing out job postings. Disseminates applications on a determined basis and/or upon request.
- All other duties and projects as they become available and assigned.
Position Duties
Minimum Requirements
- A high school diploma and administrative experience. A bachelor's degree may be substituted for the required work experience.
Agency Requirement
- Must complete a nationwide criminal background check to include finger printing.
Additional Requirements
- Knowledge of principles and practices of human resource management.
- Knowledge of recruiting and employment policies and procedures.
- Ability to establish and maintain effective working relationships.
- Ability to communicate effectively.
- Ability to make and communicate decisions.
- Ability to analyze data and present ideas effectively.
- Employee works under direct supervision of the HR Manager with day-to-day guidance.
- Discretion is allowed in making decisions in areas that are routine and well defined.
- Situations involving special circumstances must be referred to the HR Manager.
- Must be able to work in a busy office environment where processing volume and meeting deadlines are required.
