Position Title: Human Resources Coordinator.
Department: Human Resources.
Classification: Non-Exempt.
FTE: 1.0.
Work Schedule: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors.
Work Location: On Campus.
Hourly Rate: $21 - $23.
Essential Job Duties:
- Support to Human Resources.
- Perform general office duties professionally including greeting, answering phones, and routing correspondences.
- Provide administrative support to ensure efficient office operation, which is including but not limited to benefits, onboarding, orientation and recruiting.
- Coordinate appointments, meetings, and events.
- Maintain the Human Resources area website.
- Manage the AskHR ticketing system and email alias.
- Manage I-9’s for Staff & Faculty.
- Manage background checks for Staff.
- Office Management.
- Track the budget in consultation with the applicable stakeholder(s), including paying invoices, keeping track of credit card expenses, and order office supplies.
- Oversee document retention.
- Enter and update employee information in Human Resources databases and tracking systems.
- Assist with data entry reports for audits and internal requests.
- Provide support to Student Employment for I9 processing.
- Supervisory Responsibilities.
- Hire, train, and lead student employees working in Human Resources; approve timecards.
- Assign and oversee administrative tasks assigned to student workers.
- Be flexible to adjust priorities and thrive in a fast-paced environment where the requirements change regularly.
- Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community.
- Complete and meet deadlines for required training and performance management cycle.
- Perform other duties as assigned.
Supervision Received and Exercised:
- Reports to the Director of Human Resources.
- This position supervises student workers.
Required Qualifications:
- Education:
- Associate’s degree or equivalent work experience.
- Associate’s degree or equivalent work experience.
- Experience:
- 1+ year of experience with administrative support; strong customer service and listening skills; excellent organizational and time management skills; intermediate to advanced skill with the Google Workspace (Gmail, Docs, Sheets, Slides) or Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Preferred Qualifications:
- Education: Bachelor’s Degree or equivalent work experience.
- Experience: 2+ years of experience in administrative support, human resources, or higher education.
Prerequisites:
- Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
