POSITION PURPOSE

This position provides administrative and operational support to the Human Resources (HR) department, ensuring accurate and timely processing of employee lifecycle events, including new hires, transfers, promotions, and terminations. The role also supports HR systems, data accuracy, and reporting to help maintain efficient HR operations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Processes employee life cycle actions across multiple systems including new hires, transfers, promotions, and terminations. Ensures data is updated and maintained across multiple HR systems in a timely and accurate manner.
  2. Performs quality control review and auditing activities to ensure data integrity in HR system. This also includes reviewing and reconciling HR data across multiple systems to ensure alignment and accuracy.
  3. Assists with general inquiries and directs employees to the appropriate HR resource, as needed.
  4. Creates, manages, and maintains employee records ensures adherence with company policies and procedures, as well as compliance with federal, state and local regulations.
  5. Provides general administrative and project support to the department. This includes assisting with special projects or departmental initiatives such as performance review cycles, training initiatives, and employee engagement activities.
  6. Assists with HR data management and reporting activities, including maintaining spreadsheets, validating data accuracy, and supporting headcount, workforce, and talent-related reporting.
  7. Supports HR systems and operational process by testing system updates, documenting workflows and helping ensure data consistency between platforms.
  8. Supports HR compliance activities, including regular audits and policy updates as needed.
  9. Assists with creating, updating and maintaining department standard operating procedures (SOPs). Identifies and proposes opportunities to streamline and standardize processes and practices.
  10. Assists with the coordination of new employee orientation, as well as other training events.

 

MARGINAL OR ADDITIONAL FUNCTIONS

  • May audit departmental processes to ensure adherence to established policies, procedures, and standards.
  • Create or update standardized reports for internal stakeholders. May support the generation of standard HR reports for leadership and other key stakeholders.
  • Performs other duties as assigned or apparent.

 

SUPERVISORY RESPONSIBLITIES

  • This position has no supervisory responsibilities.

 

KNOWLEDGE, SKILLS & ABILITIES

  • Must possess a general knowledge of Human Resources as normally obtained through the completion of an associate's degree in human resources or related field.
  • One to two years of administrative experience, preferably in Human Resources.
  • Strong attention to detail and organizational skills.
  • Strong multitasking and time management skills to operate in a fast-paced environment.
  • Must have the ability to handle sensitive and confidential information with discretion.
  • Must possess good communication and interpersonal skills.
  • Strong working knowledge of Microsoft Excel or similar spreadsheet tools including use of basic formulas, data organization, and reporting.
  • Ability to adapt to evolving technology and learn new systems efficiently. This includes demonstrating a comfort-level using emerging workplace technologies and tools to improve efficiency and accuracy.

 

PREFERRED QUALIFICATIONS:

  • Familiarity with project coordination or task-tracking tool is a plus.
  • Spanish language skills are a plus, but not required.

 

TRAVEL

  • May include travel to support multi-state operations for open enrollment, employee education, and M&A activity.

 

SAFETY

  • This is considered a non-safety-sensitive position but is subject to the company's drug and alcohol policy, as well as all OHSA regulations.
  • All employees must wear the appropriate personal protective equipment (PPE) when required.
  • This role is expected to comply with federal, state, and local laws, as well as the company's safety policies, enforce safe work practices, and proactively identify and remedy worksite hazards.

 

PHYSICAL REQUIREMENTS AND DEMANDS

  • Work is generally performed in an office environment.
