Job Summary
Provide administrative support to various aspects of HR operations. Answer phone calls and direct customers to appropriate HR staff. Enter and update employee licenses and certifications. Provides backup for pre-employment appointments and background checks, and process post-hire employment documents. Enter new employee information into database (Meditech and Kronos). Serve as backup for payroll  to include posting payroll. Coordinate hospital-wide HR sponsored employee relations events.
 
Compensation
We are committed to providing wage ranges for all open positions. Please note that the specific compensation for this role will be determined based on experience, education and internal equity considerations. The hourly wage range for this position is $22.80–$32.18. This range reflects the base salary for this position.
 
Key Accountabilities
Office Duties
  • Answer department phone and respond to inquiries or direct customers to appropriate staff
  • Receives and distributes department mail
  • Manage company credit card
    • Reconcile and allocate credit card for Accounting
  • Tracks office supply inventory and places orders for department
  • File personnel documents
Create and Manage employee files
  • New Employee
    • Track onboarding activities for new employees
    • Print new employee onboarding documents from Applicant Tracking System
    • Add all new hires to Expanse, Kronos, DHS and MN New Hire Reporting
    • Serves as a backup to Security with taking ID badge photos for new hires and creating/printing badges
    • Provides backup resources for pre-employment appointments
    • Submit and direct new hires for DHS fingerprinting services
    • Add new employee photo to Intranet Directory
  • Existing Employee
    • Process internal transfers and payroll changes including drafting, printing and sending memos
    • Draft and send Compensation Adjustment Memos
    • Enter and update employee licenses and certifications
    • Assist with scheduling employees for certification classes and distribute study books
  • Former Employee
    • Remove Licenses/Skills from Expanse
    • Take off Nursing Registry (if applicable)
    • Add Separation date to DHS
    • Pull personnel folder and file with terms
    • Move I9 form to term binder
Payroll
  • Processing payroll biweekly and send check requests to Accounting
  • Manage and process employee retention and referral bonuses for payment
  • Ensure all new hires have their payroll information added to Expanse (Direct Deposit, Tax withholding)
  • Enter Pharmacy OTC and RX to employee timecard, to be withheld
Employee Event Planning
  • Works with other Human Resources colleagues to plan employees events
  • Coordinate agenda with coworkers
  • Work with outside vendors to ensure employee events are professional and attractive to employees
Length of Service
  • Manage and administer Length of Service achievement on a monthly basis
  • Coordinate gift cards for those with milestones greater than 10 years
  • Provide information to Community Relations for posting on the Intranet
  • Provide vendor with LOS recipients’ information for account setup (store)
  • Prepare LOS letter and send to leaders
Reporting
  • Provide information, reports, and data as requested by managers and employees
  • Biweekly
    • Demographic Change Report
    • Dept/Job Code Change Report
    • Termination List
  • Monthly- OIG Report
  • Quarterly- Unemployment Reporting
Assists with the Allina Library Services by sending requests to our Allina contact
Required Qualifications
  • Strong customer service skills
  • Strong interpersonal skills
  • Ability to deal with sensitive issues and maintain confidentiality
  • Ability to work independently
  • Prior administrative and customer service experience
Preferred Qualifications
  • Previous experience in a Human Resources setting
Schedule
  • 80 hours per two-week pay period
  • Monday through Friday, core hours of 8:00 AM–5:00 PM
