About the Department
With a focus on promoting a positive client-centered Human Resources division and organizational culture, the Human Resources (HR) Coordinator will independently coordinate and implement human resources and administrative tasks. Demonstrates initiative to respond and make minor operating decisions based on knowledge of college and department service model, policies, and procedures. Responsible for administrative, financial, and programming activities involving coordination of effort between several parties and departments at all levels.
Position Duties
- Serves as point of contact for the Office of Human Resources; represents the department and College to employees and community members.
- Coordinates Assessment test for new hires and college employees.
- Supports and assists in new employee intakes including new employee orientation activities.
- Supports recruitment and hiring activities using the applicant tracking system, ensuring compliance with HR policies and procedures.
- Collect, organize and maintain personal files and records of all materials used for recruitment and employment, including but not limited to candidate applications, credentials, committee interview notes and related documentation.
- Support training on HR software and systems including items such as HR talent management software, employee orientations and workshops as assigned.
- Initiate communication with other departments in carrying out tasks and resolving workflow or problems presented by employees and the public.
- Maintains positive contact with outside agencies in carrying out tasks, including verifications of employment, etc.
- Performs activities related to office procedures, but not limited to:
- Handle front desk workload including answering main Human Resources telephone line, emails, and documentation requests.
- Assisting with new hiring documentation and electronic personnel files.
- Compiling and maintaining reports and records of activities relating to HR operations.
- Properly directing employees and the public inquiries.
- Handling and distributing mail and routing documents.
- Assisting HR Talent with applications for employment and related materials.
- Responding to requests for verification of employment (VOE) and Public Student Loan Forgiveness (PSLF).
- Responsible for HR office requisitions. Examples include office supplies, service award materials, and job posting advertisements.
- Review invoices for accuracy and request payment.
- Responsible for coordination of rooms, programming and catering setup for HR meetings, events, and other projects.
- Work collaboratively with other staff and administrators to ensure projects are completed.
- Coordinates Human Resources’ responsibilities for all service award events including processing of reports, graphic/print requests, supply requisitions, and event coordination.
- Ability to learn and use Colleague and Microsoft Office programs including but not limited to Word, Excel and Outlook. May be required to learn and use other software required by the department.
- Sets own work priorities based on the supervisor’s direction or established timelines and practices.
- Initiates recommendations for changes in operating methods to administrators.
- May coordinate the work of part-time staff as assigned.
- Must be able to work under pressure and within tight deadlines.
- Must be flexible and adjust to changes in daily activities.
- Other duties as assigned.
Minimum Qualifications
An associate degree or higher, preferably in Human Resources, Business Management or Operations
Other Qualifications
One year related Human Resources experience in an office environment is required.
Previous experience in unionized, higher education or public-sector environment is preferred.
