Education, Qualifications, and Work Experience
• Minimum of a High School diploma or General Education degree (GED) required
• Associate’s degree preferred
• Minimum of three (3) years secretarial experience required, preferably in public education and/or human resources environment
• Previous work experience answering a multi-line phone system required
• Ability to serve as a State of Maryland notary
• Excellent customer service, communication (both written and verbal), and cross-group collaboration skills required
• Evidence of working in a fast-paced work environment
• Proficient computer skills, including use of Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Demonstrated ability to multitask and remain calm under pressure
• General knowledge of employment laws and practices
• Demonstrated ability to work professionally
• Demonstrated ability to maintain a high level of confidentiality
• Highly organized with great attention to detail
• Excellent problem-solving skills and ability to resolve problems in a timely manner
• Excellent planning, organizational, and time management skills
• Self-motivated with the ability to work both independently and in a team environment
Essential Job Functions
• Greet and assist all customers who enter the Office of Human Resources
• Answer multi-line phones and route incoming calls to HR, Benefits, and Payroll departments
• Monitor the generic HR email account and respond and/or forward emails to the appropriate staff member
• Schedule fingerprint and badge appointments when needed as a backup to the fingerprint technician
• Review and assist with the processing of new hire paperwork, including I-9 completion
• Monitor the use of office equipment and supplies near the front desk area
• Prepare new hire packets
• Process daily deposits
• Ensure reception area is presentable at all times
• Maintain job postings on HR’s bulletin board
• Answer general application questions
• Process all incoming and outgoing mail and faxes
• Maintain housing spreadsheet
• Provides clerical and administrative support to the Office of Human Resources as needed
• Performs office duties requiring discretion and independent judgment
• Performs other work-related duties as assigned
Environmental Factors and Physical Requirements
The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard. The employee frequently is required to sit, reach with hands and arms, talk, and hear.
