About this role

Job Title:  Human Resources Substitute Clerk                                                        

 Wage/Hour Status: Non-Exempt

Reports to: Director of Human Resources                                          

Pay Grade: Clerical Pay 4

Dept. /School:  Human Resources                                                     

Days: 227

 

Primary Purpose:  To provide exceptional customer service to visitors of the Administration Building and applicants of the Substitute Department while supporting Human Resources functions and operations.

Qualifications:

Education/Certification:

 

  • High School Diploma or hold a GED Certificate

 

            Special Knowledge Skills:

 

  • Proficiency in English, Spanish preferred
  • Ability to manage stressful situations
  • Ability to analyze problems in high stress situations and choose appropriate course of action
  • Proficiency in utilization of software database systems
  • Proficiency in Google Documents and/or Excel spreadsheets
  • Experience utilizing Office 365 apps

 

 

Experience:

 

  • Job experience relating to public relations

 

Major Responsibilities and Duties:

  • Assist Phone Operator in answering calls to the Administration Building and Substitute Office
  • Provide good public relations and attentive customer service
  • Check visitors in the Hall Pass system
  • Maintain confidentiality at all times
  • Direct visitors to departments and notify departments of visitors, as needed
  • Responsible for completing projects/tasks as assigned by Director and Substitute Specialist
  • Assist in the development and maintenance of the Administration Building Directory
  • Assist with Human Resources records maintenance such as scanning and file audits
  • Back-up for fingerprinting and ECISD badges (extensive background check required)
  • Manage community concerns and provide connections to appropriate departments
  • Support teacher pipelines by communicating regularly with teachers regarding certification and maintaining accurate records of the progress
  • Support substitute department by conducting reference checks and preparing applicants for upcoming substitute orientations
  • Other duties as assigned

Maintain emotional control under stress. Occasional prolonged or irregular hours. Office conditions; Work with large group of visitors on occasion
