Position Summary
The HR Support Specialist provides comprehensive administrative and operational support to the Human Resources department and organizational leadership. This role supports multiple HR functions, assists with company programs and events, provides front‑desk coverage as needed, and ensures smooth daily operations. The ideal candidate is flexible, detail‑oriented, highly organized, and a strong team player willing to assist wherever needed.
Key Responsibilities
Administrative & Office Support
- Distribute incoming and outgoing mail and maintain orderly mail processes.
- Provide front‑desk coverage when the receptionist is away, including greeting visitors and answering calls.
- Perform general administrative assistant duties for directors, including preparing medical support notices and processing garnishments.
- Track important dates and deadlines using Outlook or other calendar tools.
HR Program & Employee Support
- Assist with the employee award program, including tracking nominations, preparing materials, and coordinating recognition activities.
- Handle employment verifications and ensure timely, accurate responses.
- Assist with company sponsorships, including documentation, communication, and tracking.
- Support HR projects and initiatives as needed, providing research, coordination, and administrative support.
- Assist with company events, summits, team‑building activities, and employee engagement initiatives.
Reporting & Documentation
- Assist with HR and departmental reporting, ensuring accuracy and timely completion.
- Create and maintain Excel spreadsheets, including formulas and data tracking.
- Use Microsoft Word mail merge for letters, notices, and bulk communications.
- Support the creation of presentations for directors and HR leadership.
Technology & Systems Proficiency
- Proficient in Microsoft Excel, including formulas, pivot tables, data tracking, and spreadsheet management.
- Strong skills in Microsoft Word, including mail merge for letters, notices, and bulk communications.
- Skilled in Microsoft PowerPoint, including creating and editing presentations for directors and HR leadership.
- Comfortable working in SharePoint for document storage, collaboration, and version control.
- Able to use OneDrive for file management, sharing, and cloud‑based collaboration.
- Strong general comfort with technology, digital tools, and learning new systems quickly.
- Comfortable leveraging AI to enhance productivity, streamline tasks, and support HR projects.
Qualifications
- Associates degree and/or 1–3 years of administrative or HR support experience preferred.
- Strong proficiency in Microsoft Office Suite, including Excel formulas and mail merge.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask and prioritize.
- Ability to maintain confidentiality and handle sensitive information.
- Flexible, collaborative, and willing to assist wherever needed.
- Strong customer service orientation and professional demeanor.
