Due to continued growth, we are looking to add an Inspections Administration Specialist to our Corning, NY team. In this role, you will support the day-to-day operations of the Inspections Department, partnering with inspectors and the Service Department to keep reports, billing, and customer records accurate and on track. Success in this role requires strong organizational skills, exceptional attention to detail, a customer-focused mindset, and the ability to adapt to evolving systems and processes.

Key Responsibilities:

  • Run orders and reports from the database to support inspection workflows.
  • Maintain positive customer relationships and respond to general inquiries in a timely, professional manner.
  • Work daily with inspectors and, when necessary, the Service Department to coordinate activities and follow up on outstanding items.
  • Submit reports as required to local code enforcement agencies and water authorities.
  • Maintain accurate customer and system information within company databases.
  • Manage the invoicing and report spreadsheet to ensure proper billing and verification of completed reports.
  • Assist in obtaining information needed for each job, including PO numbers, tax-exempt forms, insurance certificates, and certified payroll information.
  • Scan and upload documents to the online document storage system for the entire department, including invoices, purchase orders, contracts, and other customer-specific records.
  • Adapt to and learn newly implemented operating systems as the department evolves.
  • Perform other duties as assigned.

Qualifications:

  • High School Diploma or GED required; Associate's Degree preferred.
  • One to two years of experience in office administration.
  • Strong computer skills.
  • Exceptional accuracy and attention to detail.
  • Good verbal communication and customer service skills.
  • Ability to be flexible and handle scheduling changes.
  • Knowledge of fire protection systems is a plus.
  • Valid driver's license required.

Physical Demands & Work Environment:

  • Office environment with moderate noise levels.
  • Mostly sedentary role with the need to move about the office to copy, scan, fax, and file.
  • Consistent use of phone and computer throughout the workday.

The wage for this role starts at $20.00 per hour, based on experience and qualifications.
