Duties

The incumbent is responsible for processing a variety of accounting and purchasing records. Assures documents contain accurate and correct information and that the proper cost center and general ledger are used. Responsible for preparing necessary purchasing documents and/or reviews and process requests for purchases to ensure procedural and regulatory requirements are met. Research catalog, brochures, correspondence and other appropriate reference material to find potential suppliers/vendors. Investigates and resolves discrepancies in delivery, pricing, etc. Maintains records of purchasing transactions and prepares documentation for superiors. Communicates with vendors to discuss item selections, price terms of purchases, delivery, return order authorizations, etc. Functions as Authorizing Officer (AO) for departmental NAF credit cards. Ensures subordinate card holders follow all regulatory requirements and that all required paperwork and reports related to credit cards are completed correctly and on time. Responsible for processing daily activity reports (DAR) and coding into SAP accounting system. Maintain BPA call logs as required to ensure accuracy of facility records. Maintaining all department procurement record files. Assists with end of the month processes as required. Tasks such as retail inventory verification; verify ticket and pre-paid inventory accuracy; ensure facilities have submitted all end of the month documents. Assists with routine and non-routine internal auditing requirements such as annual fixed asset inventories, monthly resale inventory verifications, and storage facilities audits. Performs other duties as assigned.

Qualifications

Applicants are encouraged to be clear and specific when describing their experience level and KSAs.A qualified candidate must possess: Associate's degree in business or 3 years of experience in an accounting position. Two years of experience with Navy non-appropriated fund activities in an administrative or accounting capacity. Knowledge of accounting concepts and procedures to include double entry bookkeeping, accounting transactions, maintaining, balancing and examining accounting records to verify accuracy. Knowledge of basic federal procurement principles and practices. Ability to maintain various types of records and reports requiring accuracy in selecting, posting and consolidating data. Ability to operate a variety of office machines to include a computer. Must be proficient in Word and Excel. Ability to communicate effectively both orally and in writing in English. Ability to follow verbal and written instructions. Must have and maintain a current driver's license.

Education

Associate's degree in accounting or related field plus a minimum of 2 years accounts payable experience including payables, processing and reconciliation.
