About this role
Employment Duration: 6 months
Applies professional knowledge of health professions education administration to coordinate nursing student clinical placement programs. Independently administers operational processes supporting undergraduate nursing student placement, onboarding, compliance verification, scheduling, and liaison activities with educational partners. Coordinates multiple concurrent educational activities involving academic institutions, clinical departments, nursing leadership, clinical instructors, preceptors, affiliate management, IT, security services, HR, and students utilizing a student information platform and UCSF systems. Exercises independent judgment in resolving operational issues and recommending workflow improvements that support clinical education.

Key Responsibilities:
- Coordinate undergraduate nursing clinical placement cycles for cohort and capstone students at UCSF Health.
- Review and approve Student Information System (SIS) placement requests.
- Evaluate historical placement data and available clinical capacity.
- Develop unit-level placement schedules.
- Maintain placement tracking databases and reports.
- Communicate placement requests and confirmations with nursing leaders and academic institutions.
- Confirm placement decisions within required institutional deadlines.
- Coordinate student onboarding activities to ensure readiness prior to clinical start dates.
- Create and maintain affiliations within UCSF software systems.
- Review learner demographic information and identity records and export reports in a compliant manner.
- Coordinate resolution of identity, account access, badge, and door access requests.
- Track onboarding completion and verify completion within the Student Information System.
- Ensure all required onboarding activities are completed before program start dates.
- Review learner attestations and verify completion of required institutional training.
- Confirm school clearance documentation.
- Coordinate compliance communications with schools and clinical instructors.
- Maintain documentation supporting institutional and regulatory requirements.
- Coordinate orientation activities for new clinical instructors, as needed.
- Provide instructors with access to unit contacts through applicable UCSF systems.
- Coordinate capstone introductions to preceptors.
- Collaborate with unit leadership to identify and confirm preceptors.
- Facilitate communication among instructors, students, unit leadership, and academic institutions.
- Resolve onboarding and learner access issues through JIRA ticket management.
- Troubleshoot learner access problems and provide operational support to schools and clinical departments.
- Identify workflow inefficiencies and recommend operational process improvements supporting learner placement activities.
- Recommend updates to the Student Placement website, as needed.
- Perform other duties as assigned.

Qualifications
Required Qualifications:
- Bachelor's degree in Healthcare Administration, Business Administration, Education, Nursing, or a related field; or an equivalent combination of education and experience.
- Experience coordinating educational or healthcare operational programs.
- Demonstrated oral and written communication skills, including active listening and critical thinking.
- Strong interpersonal, customer service, and relationship management skills.
- Ability to collaborate effectively with individuals from diverse backgrounds.
- Strong problem-solving skills to support learners and resolve operational issues.
- Excellent organizational, analytical, and attention-to-detail skills.
- Ability to manage multiple priorities and meet established deadlines accurately and efficiently.
- Demonstrated proficiency with Microsoft Excel, Outlook, and database applications.
- Excellent written and verbal communication skills.
Preferred Qualifications:
- Master's degree in a related field.
- Thorough knowledge of relevant policies and regulatory requirements.
- Solid knowledge of nursing clinical requirements and UCSF onboarding processes.
- Experience coordinating nursing student clinical placements.
- Experience working in an academic medical center.
- Experience using student placement systems, Student Information System (SIS), identity management systems, and the JIRA/Atlassian ticketing system.
- Knowledge of nursing education operations and affiliation management processes.
- Experience managing multiple concurrent projects and deadlines.
- Demonstrated project coordination experience.
