Position Summary Coordinates office projects to achieve optimum utilization of equipment and employee productivity, to include but not limited to staffing, training, supplies, office equipment maintenance and repairs, housekeeping, facility maintenance/management. Schedule: Monday through Friday; Dayshift Opening Summer 2026 at 4000 Lakeland Highlands Road, Lakeland, FL. Responsibilities Essential Responsibilities Conduct department orientation and onboarding for new employees, including training on software systems, telephone procedures, office equipment, departmental policies, customer service expectations, job competencies, and coaching plans. Assign, prioritize, distribute, and monitor work assignments while reviewing the quality and accuracy of work performed by office staff. Coordinate and oversee administrative functions for office teams, including filing, document preparation, record retention, duplication services, faxing, mail distribution, and supply ordering. Manage employee scheduling and monitor timekeeping and payroll reports for accuracy and compliance. Coordinate logistics for meetings, conferences, seminars, and business travel, including preparation and timely submission of travel expense reports. Assist in developing department goals, policies, procedures, budgets, statistical reports, and process improvement initiatives. Compile, prepare, analyze, and maintain complex reports, proposals, financial data, statistical information, and personnel records. Draft and prepare correspondence, invoices, reports, presentations, meeting minutes, and other business documents while maintaining organized and confidential files. Maintain regular and dependable attendance in accordance with organizational policies and applicable federal, state, and local regulations. Ensure compliance with all organizational policies, procedures, and regulatory requirements. Additional Responsibilities Independently resolve routine office issues and implement solutions; collaborate with leadership on more complex matters. Attend departmental meetings, training sessions, and in-service programs; prepare and present reports as needed. Provide ongoing training and support for office staff, ensuring completion of all required training, certifications, health screenings, and compliance requirements. Promote employee growth and development through educational opportunities, workshops, and professional development programs. Perform other duties and special projects as assigned. Qualifications Education High school diploma or equivalent required. Coursework or post-secondary education in Secretarial Science, Business Administration, Office Management, or a related field is preferred. Experience Minimum of four (4) years of secretarial, administrative, or office management experience required. Two (2) years of post-secondary education in Secretarial Science or a related business field may be substituted for two (2) years of the required experience. Licensure/Certification No licensure or certification required.
