About this role
As the Office Manager, you will be a vital member at our Kodiak, AK processing facility that will provide a strong foundation for our operations. You will be responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. You will oversee administrative staff and ensure that the budget and records of the office are managed efficiently. The Office Manager will in addition operate as the fleet accountant, responsible in maintaining accurate fish tickets and timely reporting. Ultimately, the Office manager ensures the smooth running of the office and helps to improve company procedures and day-to-day operations.
Essential Functions/Qualifications
The responsibilities of the position include the following:
- Mange all inquiries from the public, fishermen, employees, and clients.
- Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and coordinate any other related equipment.
- Work closely with Fleet Management personnel regarding tender activities and tender needs for supplies and equipment.
- Assist Tender personnel when an issue arises regarding ELandings system.
- Maintain all fisherman accounts, including receivable and payables, issue Purchase orders as needed.
- Coordinate with department supervisors regarding department assignments to ensure that employee hours are recorded accordingly.
- Prepare and ensure that the time sheets are ready at the end of every pay period and that employees receive a copy to verify their hours. Submit final time sheets to Payroll Manager. Ensure that time clocks are working and online.
- Prepare all payments to Fishermen, including advances and settlements.
- Ensure that all business permits and licenses are current and in line with regulatory authorities.
- Establish office standards and procedures, organizing office operations and procedures.
- Maintain vehicle information and documentation and ensure vehicle registrations and insurance are current.
- Collect Tender Packets containing fish tickets from offloading tenders, auditing all weight records, fish tickets, and tender tallies within the Tender Packets.
- Ensure all copies of fish tickets are submitted on time as required to the appropriate Alaska Department of Fish and Game office.
- Maintain and keep current all Fisherman files at Kodiak, AK facility. Generate requested reports for plant and corporate management personnel.
- Generate requested reports from the fish ticket system as business needs require.
- Control and accurately account for all petty cash including ensuring plant credit card is reconciled on weekly and monthly basis to account for any plant related expenses.
- Perform other duties as assigned to support team objectives and organizational goals.

Education and Experience
- High school diploma required.
- Associates or BA preferred but not required.
- 6-12 months related experience and/or training; or equivalent combination of education and experience.
- Previous experience in Seafood or Manufacturing is preferred, not required.
Work Environment and Schedule
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Position requires onsite presence at our Alaska Processing Facility, and the ability to travel, spending a significant amount of time during the season at our various locations and processing facilities in Alaska.
Physical Demands
While performing the essential function and job duties associated with the job, the employee is regularly required to sit, handle, or feel and talk or hear. The employee is occasionally required to stand, walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.

Salary Disclosure
The typical base pay range for this role is $75,000-85,000 per year. Individual base pay depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills.
