About this role

This is a full-time position based out of our corporate office in downtown Indianapolis. The general salary range for this role is $19-$22/hr. and includes full benefits (below):
 

The Payroll & Human Resources Compliance Coordinator supports the effective delivery of payroll and workforce compliance functions while providing high-quality customer service to employees and leaders across the organization. This role is responsible for ensuring accurate and timely payroll processing, maintaining compliance with employment eligibility requirements, and safeguarding sensitive employee information.  This role responds to payroll and verification inquiries, resolves issues with professionalism and care, and helps promote a positive and compliant employee experience. Working collaboratively with Human Resources, Finance, and operational teams, this position contributes to strong internal controls, regulatory adherence, and continuous process improvement.  This position reports to the Payroll Manager and maintains a dotted-line reporting relationship to the Employee Relations team within Human Resources.

Example Duties and Activities 

  • Assist with processing payroll for multiple employee groups, ensuring data accuracy and timely completion under established procedures.

  • Monitor and complete assigned Workday inbox tasks related to payroll, time entry, and payment elections.

  • Review and resolve routine payroll exceptions, including missing payment elections, invalid routing numbers, and direct deposit updates.

  • Process payroll-related data uploads (EIBs) such as stipends, taxable fringe benefits, and wellness deductions as directed.

  • Support Wisely, Daily Pay, and other payroll payment platforms by resolving enrollment errors and routine issues.

  • Prepare standard payroll and headcount reports and distribute to leadership as requested.

  • Respond to employee payroll inquiries via phone, email, and help tickets, providing timely and customer-focused service.

  • Process employment verifications and assist with wage withholding orders following established procedures.

  • Maintain organized and compliant payroll and employment verification records.

  • Complete Form I-9 reviews, data entry, and correspondence for new hires, maintaining accurate documentation.

  • Submit E-Verify cases within required timelines and escalate non-routine cases to leadership.

  • Audit federal, state, and local compliance posters to ensure they are current and posted at each site.

  • Audit compliance training, policy sign-offs, and follow up on non-compliance, escalating to leadership as needed

  • Monitor and audit Employment Authorization Documents (EADs) approaching expiration, notify employees and managers, assist with renewal steps,, maintain a centralized tracker, and escalate cases to leadership as needed

  • Triage subpoenas and legal requests and escalate cases to leadership as needed.

  • Provide backup support to payroll and HR team members and assist with special projects as assigned.

Required Competencies

  • Industry Expertise - Experience supporting payroll, accounting, or human resources functions in an organizational setting preferred. Familiarity with payroll processing procedures, timekeeping systems, and basic reporting practices preferred. Experience in a nonprofit or multi-location environment is helpful but not required. Demonstrates a working knowledge of payroll-related compliance requirements and the ability to follow established policies and procedures. Comfortable reviewing data for accuracy, identifying discrepancies, and escalating complex issues appropriately. Experience using HRIS or payroll systems (e.g., Workday) preferred.

  • Technical Knowledge - Proficient in Google Suite and Microsoft Office applications, particularly Excel for basic formulas, sorting, filtering, and data review. Experience working within HRIS or payroll systems preferred (e.g., Workday), with the ability to accurately enter, review, and maintain data. Demonstrates attention to detail and the ability to learn new systems and technology with training.

  • Organizational Aptitude - Maintains organized records and manages multiple tasks while meeting payroll and compliance deadlines. Demonstrates strong attention to detail and follow-through.

  • Adaptability - Adjusts to changing priorities and deadlines, particularly during payroll processing cycles. Maintains a positive and solution-focused attitude.

  • Business Acumen - Understands how payroll and HR compliance processes support overall organizational operations and employee experience.
