Duties
Coordinates and performs a wide variety of tasks in support of the Regional Procurement Office (RPO). Performs basic procurement activities such as: reviews purchase requests to ensure they are complete and correct; reviews vendor quotes and proposals to identify and record information; contacts vendors to obtain status of orders and expedite delivery; resolves a variety of shipment, payment, or other discrepancies; tracks receipt of solicitation amendments and contract modifications; performs contract administration functions such as receipt and acknowledgement of contractor correspondence and management of contract close-out procedures. Enters and monitors data in procurement files, purchasing system, and contract management system. Purchases items with a purchase card when authorized. Establishes status of actions on numerous procurements, support operations, and mission requirements. Organizes flow of operational processes in the RPO and assists contract specialists and other staff as directed. Reviews and interprets directives and regulations. Maintains official and procurement files, and periodically disposes of records in accordance with official disposition instructions. Advises team on development and implementation of local administrative directives and procedures. Develops internal policies, procedures and work methods affecting administrative operations. Collects, compiles and organizes information and data to meet administrative requirements. Prepares correspondence and drafts instructions. Facilitates methods for automating reports and correspondence. Enforces and trains employees on proper naval correspondence rules. Receives visitors and directs them to appropriate contacts; receives and delivers messages to team; arranges and maintains appointment calendars for team; routes incoming mail to team. Establishes suspense dates to collect responses and submits information as required. Performs support functions such as monitoring and reporting on branch budget, assisting in development of financial plan, obligating funds, initiating staff travel requests and liquidating travel claims; maintaining stock of office supplies; making arrangements for special events; collecting and reviewing section timecards for supervisor¿s signature; preparing presentations and training sessions; and monitoring and distributing personnel paperwork such as recruitment requests and training notices. May monitor individual development plans, conduct briefs and presentations, and gather statistical data. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Uses any required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.

Qualifications
A BACHELOR¿S DEGREE in a related field appropriate to work of the position, OR an appropriate combination of education and experience that demonstrates possession of knowledge and skill equivalent to that gained in the above OR three years¿ experience that demonstrates broad knowledge of administrative practices and principles. Experience in performing support work in procurement, purchasing, or contracting actions preferred. Skill to organize and coordinate multiple high visibility projects simultaneously. Skill to prepare documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation. Skill to operate a personal computer, and associated peripheral equipment and software. Knowledge of a variety of support functions such as gathering statistical data, monitoring and reporting on support budgets, assisting in developing financial plans; obligating funds, liquidating travel claims; maintaining stock of office supplies. Skill to deal with employees at various levels in the organization and to represent the RPO with external customers.
