The Arizona Department of Administration (ADOA) Enterprise Resource Planning (ERP) Division is seeking a motivated and detail-oriented I.T. Project Coordinator to play a key role in supporting successful project execution. In this position, you will work closely with project managers to track progress, drive action items to completion, and maintain vital project documentation and artifacts. Serving as a crucial liaison between business units and the ERP team, you will utilize your ability to work independently while delivering exceptional customer service to both internal and external stakeholders. - Status Reporting & Tracking: Collaborate across teams to gather, maintain, and report accurate project data for weekly and monthly status updates.
- Stakeholder Engagement: Facilitate strong relations among the ERP team, contractors, and agency customers through clear, effective communication tailored to diverse needs.
- Meeting & Schedule Management: Coordinate, attend, and manage project meeting schedules using strong organizational and prioritization skills.
- Customer Support & Service Delivery: Apply a customer-centric approach to address support requests, gather customer feedback, and continuously enhance service delivery.
- Project Documentation & Artifacts: Provide administrative support to internal and external stakeholders by maintaining and organizing key project documentation and artifacts.
- Process & Governance Documentation: Partner with team members to document operational processes, standard work procedures, and governance standards.
- Action Item Coordination: Work closely with cross-functional teams to track, coordinate, and drive all project action items to successful completion.
Knowledge of:
- Good working knowledge of project management principles, encompassing both theoretical concepts and practical applications.
- Experience with project management tools such as Smartsheet to build sheets, generate reports, and design dashboards for tracking key metrics.
- Expertise in implementing Lean methodologies, tools, and core principles.
Skills in:
- Providing outstanding support and customer service to both internal and external stakeholders.
- Demonstrating strong analytical capabilities and an innovative approach to problem-solving.
- Exhibiting superior communication, listening, and interpersonal skills in both written and verbal forms.
Ability to:
- Capable of effectively prioritizing and executing tasks under pressure.
- Highly self-motivated and independently driven.
- Adept at creating clear, consistent, and unambiguous documentation for processes and templates.
- Skilled at finding simple solutions to complex problems.
- Demonstrated ability to balance, prioritize and organize multiple tasks.
- Prior experience in project coordination (or equivalent experience)
- Background and reference check, including state and federal criminal records fingerprint check.
