About this role

Essential Function 1: Coordinate Job Opening and Advertisement
  • Provide assistance in the guidance of completing recruitment request procedures and forms
  • Assisting in drafting job advertisement
  • Assisting in placing advertisement timely and accurately on official outlets and CMI Applicant Tracking System (ATS) – Peopleadmin.

Essential Function 2: Assist in Position Management
  • Provide assistance in monitoring position opening and closing, activities recorded in the applicant tracking system, and advise supervisor
  • Collect hiring committee members name from the Chair and update Peopleadmin to allow
    access to applicant information
  • Ensure that the checklist of the requirements for each openings is collected or completed
  • Ensure all documents are filed (hard copy and ecopy)

Essential Function 3: Assist the Hiring Committee
  • Provide support to the Hiring Committee meetings
  • Assist in organizing interviews, interview question, and evaluation forms to members
  • Check if applicants have prior CMI record or activity in the Applicant Tracking System
  • Help provide reminders/advisory to the Hiring Committee – recommendation report, etc.
  • Ensure timely filing both hard copy and e-copy in employee record

Essential Function 4: Assist the Recruitment administrative duties from background checks
to preparing for employee onboarding
  • Launch a background check
  • Work with WES or other appointed company for degree verification
  • Assist in preparation of salary assessment
  • Assist in preparation of the offer letter
  • Assist in drafting initial contract for employee
  • Coordinate with incoming employee for onboarding and related tasks with relevant offices
    (internal and external)
  • Ensure timely filing both hard copy and e-copy in employee record

Essential Function 5: Welcoming new employee
  • Assist in welcoming prep for new employees – off island hire and on-island hire
  • Assist in referral to prepare travel and move-in allowances for expatriates, including
    accommodations upon arrival
  • Ensure completeness of employee file after handover of employee to onboarding
    processes

Essential Function 6: Support and assist the Job Evaluation (JE) Committee Responsibilities
  • Assist in compiling requests to establish a new position, job description revision documents, and any other JE committee related requests
  • Advice HR Director on technical and administrative tasks pertaining to Job Evaluation
    Committee.
  • Ensure completeness of position portfolios and timely filing

Essential Function 6: Support and assist the Jitdam Kapeel (JK) Committee Responsibilities
  • Day to day support activities for Jitdam Kapeel applicants in compiling requests for educational Jitdam Kapeel Committee related reviews
  • Advice supervisors on technical and administrative tasks pertaining to JK Committee.
  • Ensure completeness of position portfolios and timely filing
