Summary:
The Personnel Specialist manages office logistics, including but not limited to completing local, state, and federal reporting, overseeing budget reconciliations, and completing necessary data entry into the ATS and HRIS. The Personnel Specialist will work with confidential employee information regarding demographic information and disciplinary information. The Personnel Specialist will be instrumental in ensuring that the Human Resources office runs smoothly and that new employees are effectively onboarded into their positions within WCASD.
Essential Duties and Responsibilities:
- Record and maintain General Fund account files to track all Human Resources Purchase Orders and expenditures.
- Support data entry regarding employees, including but not limited to start dates, promotions, reclassifications, resignations, etc.
- Support all systems work to ensure that all systems reflect accurate employee information, including but not limited to title, email address, location, and more.
- Support employee engagement polling work to better understand trends within and across buildings, departments, and the district.
- Support implementation of the district’s tenure process.
- Oversee the I-9 tracking process for the district to ensure I-9s are reviewed and identification photos are processed efficiently and effectively.
- Maintain, track, and prepare invoices for signature verification and payment.
- Process and track card purchases.
- Run departmental financial reports.
- Prepare Personnel Committee agenda and coordinate all aspects of the Personnel Committee meeting process.
- Prepare monthly Personnel Reports for the Board.
- Order office supplies.
- File materials.
- Support implementation of upgraded filing systems.
- Manage all district, state, and federal reporting.
- Complete other duties as assigned.
Minimum Qualifications:
The qualification and requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary:
- Effective interpersonal skills with the ability to interface diplomatically with hiring managers, employees, applicants, contractors, families, and outside professional contacts;
- Sound professional judgment in safeguarding privileged information and managing sensitive communications;
- High School Diploma;
- Proficient use of verbal and written communication;
- Proficient use of Microsoft applications such as Excel, Outlook, SharePoint and Word; and other spreadsheet and word-processing software;
- Proficient use of technology for research and data collection; and
- Strong organizational and office management skills.
Reporting Relationships:
The Personnel Specialist will report directly to the Director of Human Resources. The Personnel Specialist will work closely with members of the Human Resources team, with other employees across the central office and schools, and with applicants to WCASD.
Terms of Employment:
- This position is a 12 month position.
- Starting salaries are determined based on relevant experience, education, and internal equity, and are generally set below the midpoint of the salary range.
