About this role
As part of the Marketing Activation team in the Global Marketing Group, the Senior Marketing Coordinator, Media & Conferences works on any and all marketing initiatives supporting the Vice President of Marketing and the Marketing Director of Events, while collaborating across departments and divisions to help grow Pollstar subscriptions and our full portfolio of conferences and events, including properties outside the Pollstar brand. This role works closely with our editorial, events, global partnerships, and communications departments, as well as other Oak View Group (OVG) properties.
This role pays an hourly rate of $30.00-$36.00

- Assist with building and activating marketing campaigns for all events and activations
- Support marketing execution across our full event and conference portfolio, including Pollstar Live!, VenuesNow Conference, Secure Venues Summit, and other events as assigned
- Support email marketing for conferences, including updating marketing lists, updating and approving content, pulling data from email campaigns, and running A/B tests as needed
- Maintain conference websites, including updating the speaker page with bios and headshots, keeping the schedule current, and ensuring the sponsor page reflects the latest sponsors and logos
- Create registration discount codes, including OVG accounts, OVG Alliance, sponsorships, partners, and new codes as they come in
- Pull data and reports from Campaign Monitor, Google Ad Manager, and registration/revenue systems for the sales team and other stakeholders as needed
- Work with the events team to ensure they have what they need for conferences and events
- Create graphics for email marketing, social posts, and online banners
- Work with the OVG social media team to support post creation and content scheduling for Pollstar, OVG, and specific event accounts
- Update partner contracts each year: connect on trade terms, add or remove anything no longer beneficial, get agreements approved and fully executed
- Fulfill all partner terms throughout the year, including sharing Pollstar Live! and VenuesNow Conference discount codes and promos when registration opens, reminding partners to send through their assets, and ensuring we take full advantage of what we're owed in return
- Prepare the Media and Conferences team for partner conferences, including confirming exhibitor booths, providing marketing materials, and coordinating other logistics as assigned
- Own contact and client data in our database app, Starbase, including adding new information and pulling contact lists
- Assist the research team during Pollstar Award setup and announcements, including proofreading, editing, and testing the ballot site and other surveys and forms as needed
- Responsible for the creation, approval, and distribution of the 'Mock Covers' designed for our honoree-focused events
- Update the media kit at least once a quarter with new upcoming editorial content
- Support editorial on our annual lists (e.g., Women of Live, Impact50) by collecting contacts, reaching out to honorees, collecting honoree assets, and helping get online hubs created
- Owns the Poster Contest: creating graphics, sending email campaigns, outreach, collecting submissions, managing the Poster Contest inbox, adding submitted graphics to the website, updating rules and language for the current year, and managing onsite voting and results
- Handles invoice submission and tracking for the Marketing Activation team, ensuring timely processing and accurate records
- Other duties as assigned
- Bachelor's or graduate degree in Marketing, Communications, or a related field
- 2-3 years in marketing or event conference experience
- Passion for the live entertainment industry
- Working knowledge of social media platforms and best practices
- Previous experience with marketing automation platforms, content management systems, and ticketing systems is strongly preferred
- Proficiency with Canva or full Adobe Creative Suite, including but not limited to Illustrator, Photoshop, and InDesign, is strongly preferred
- Excellent technology, communication, and writing skills
- Strong analytical skills and data-driven thinking
- Ability to travel and work nights, weekends, and select holidays, in addition to traditional business hours, is required
