Saint Mary Magdalene School, a vibrant and culturally diverse prek-K through 8 school, located at 2940 Parkside Road in Columbus, is seeking an Office Secretary to begin as soon as possible to help us prepare for the new school year.  The first day of school with students will be August 19, 2026.

 

I. JOB SUMMARY

The School Office Secretary serves in a position as a staff resource in support of the Principal,

ensuring that school needs in administration, personnel, and finance are fulfilled. This position

directs and maintains these efforts with technical expertise within the framework of shared

ministry in Catholic and Christian values by performing the following duties personally or

through assistance of other parish personnel.
 

All the duties and standards within this job description will be performed according to the established policies, procedures and guidelines outlined in the school policy and procedures manuals.
 

II. ESSENTIAL JOB RESPONSIBILITIES

1. Responsible for overall office activities, including coordinating and organizing office

operations and procedures on a day-to-day basis such as information management, filing

systems, requisition of supplies, and other clerical services


2. Maximizes office productivity through proficient use of appropriate software

Applications.  Coordinate all aspects of tuition management for the school
 

3. Works during the summer months to update roster information, setup tuition agreements, and help parents prepare for the upcoming school year
 

4. Direct Admissions operations which align with the mission of the school.  Maintains a procedure for retention, protection, retrieval, transfer, and disposal of records. Maintains appropriate level of confidentiality with documents and information
 

5. Helps to manage Family Service Hours and communicates updates as needed to individuals’ hours throughout the year
 

6. Perform general clerical duties for the Principal and school including but not limited to:

answering the telephone, taking messages, processing letters and reports.

 

7. Attends monthly school staff meetings

 

8. Regular attendance and punctuality is essential for this job.  Events outside of the normal school day may be assigned as needed

 

9. Prioritizes customer service as the secretary is the main point of contact for students, families and guests.  Being inclusive, friendly, warm, helpful and willing to support the community is important.

 

10.Bilingual Spanish skills would be a huge bonus!

 

III. OTHER POSITION RESPONSIBILITIES

1. Conducts school business operations in accordance with the school and Catholic Church’s

Missions
 

2. Enjoys serving children at all ages and stages as well as their families - inclusiveness is key
 

3. Ensures school is compliant with state, federal and local regulatory bodies
 

4. Maintains a neat and safe work area:  office, staff lounge, main hallway leading to the office
 

5. Performs other duties as assigned
 

IV. POSITION QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty

satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or

Required: Compliance with BCI background checks and completion of Protecting God’s Children program

 

Education: Bachelor’s degree or equivalent experience; Knowledge and understanding of the

Catholic Church and its mission is required

 

Experience: Two to three years of previous office management experience or equivalent

combination of education and experience is preferred. Bi-lingual is also preferred

 

Interpersonal Skills: Excellent oral and written communication and human relation skills when

dealing with the bookkeeper, co-workers, other school or diocesan employees, families, and the

general public

 

Language skills: Ability to read and comprehend simple instructions, write short correspondence, and memos. Ability to effectively communicate to customers, clients, and other employees of the Diocese
 

Mathematical Skills: Ability to add and subtract two digit numbers and to multiply and divide with 100s. Ability to perform these operations using units of American money and weight measurement, volume, and distance

 

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations

The Physical Demands Strength Rating reflects the estimated overall strength requirement of

the job. It represents the strength requirements, which are considered to be important for

average, successful work performance

 

Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of
