About this role
Summary of Position: Responsible for coordinating surgical scheduling and related administrative functions while serving as a liaison between patients, providers, insurance companies, and surgical facilities. Supports daily clinic operations by assisting with non-clinical tasks and maintaining compliance with organizational policies and quality standards.
Duties and Job Responsibilities:
- Coordinate surgical date with patient.
- Obtain all appropriate insurance authorizations.
- Obtain PCP or appropriate medical clearances.
- Prepare and complete all surgical paperwork.
- Review surgical paperwork with patients, when possible.
- Reschedule surgeries as needed.
- Review messages in Meditech Ambulatory.
- Prepare all surgical paperwork for surgical technicians and PCP offices or outside/other physician offices.
- Communicate with surgical facility to assure all aspect of surgical planning/scheduling/paperwork is successfully completed.
- Act as a liaison between the team and medical device representatives.
- Complete, process, and return patient disability, FMLA, and other related paperwork in a timely and accurate manner.
- Assist the medical team with clinical/non-clinical duties to support efficient clinic operations, including rooming patients, scheduling follow-up appointments, completing laundry, stocking supplies, and performing other administrative or operational tasks as needed.
- Provide cross-coverage for surgery schedulers during absences and periods of increased workload to support efficient patient care and department operations.
- Perform insurance verification duties and provide administrative support to other departments as needed to maintain workflow and continuity of operations.
- Observe and comply with all OAM personnel policies and procedures.
- Communicate and interact effectively with patients and families, physicians, peers and other team members to maximize successful patient outcomes.
- Maintain the confidentiality of patient and staff related information.
- Follow compliance and safety requirements.
- Other duties as assigned.
Qualifications, Credentials and Skills:
- Excellent communication skills.
- Strong organizational skills.
- Verbal and written skills necessary to communicate clearly and professionally with coworkers, patients, insurance companies and physician office personnel.
- Project and maintain a positive image in telephone interactions with patients, insurance companies, other health care providers and coworkers and maintain an appearance of composure under stressful situations.
- Basic computer, calculator, fax, copier skills.

- Ability to hear and communicate via telephone with patients and staff.

Physical Requirements: The employee is regularly required to sit and/or stand for extended periods of time; walk; and stoop, kneel, and talk and hear. The employee must occasionally lift and/or move up to 40 pounds. Must possess the degree of total body strength necessary to assist patients with transfers and mobility; occasionally may need to push/pull >200 lbs when transporting patients in wheelchairs. Must be able to stretch, reach and retrieve equipment and supplies. Visual acuity, color vision, hearing acuity are necessary.
