Department Summary:
The Talent Acquisition team at Janicki plays a vital role in supporting the company’s rapid growth by attracting and engaging the skilled talent that drives our engineering and manufacturing excellence. Partnering closely with leaders across the organization, the team ensures hiring needs are met with speed, quality, and a strong commitment to candidate experience. As Janicki expands, the TA team continues to shape the workforce that delivers our most innovative and complex projects. The Talent Acquisition (TA) Coordinator strengthens this impact by serving as the operational center of the hiring process. Through precise scheduling, event support, and consistent communication, this role ensures candidates feel valued and hiring teams stay aligned. By streamlining logistics and enhancing the candidate journey, the TA Coordinator enables recruiters to focus on strategic talent engagement. Together, the TA team helps to build the teams that build Janicki.
Roles & Responsibilities:
- Interview Coordination
- Schedule high-volume virtual and onsite interviews across multiple time zones
- Coordinate candidate travel, lodging, and onsite logistics
- Prepare interview agendas, room reservations, and day of support for onsite interviews
- Maintain accuracy in all calendar invites, confirmations, and communication
- Candidate Experience
- Serve as the primary point of contact for candidates throughout the hiring process
- Provide timely, clear communication and ensure candidates feel supported and informed
- Anticipate candidate needs and proactively remove friction from the process
- Event Coordination
- Plan, organize, and support onsite hiring events, including scheduling, materials, room setup, and candidate flow
- Assist with virtual hiring events or recruiting related webinars as needed
- Partner with Talent Acquisition and hiring managers to ensure events run smoothly and professionally
- Recruiting Operations
- Maintain accurate and up to date records in the applicant tracking system (ATS)
- Support preboarding and onboarding tasks, including document collection and new hire coordination
- Assist with job postings, requisition updates, and general recruiting administration
- Collaborate with recruiters to streamline processes and improve workflow efficiency
- Additional responsibilities as needed.
Basic Qualifications
- High school diploma or equivalent is required with a minimum of two years’ experience in office setting.
- Experience coordinating interviews, schedules, events, or logistics in a fast paced or high-volume environment
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage competing priorities and meet tight deadlines
- Demonstrated commitment to delivering an outstanding candidate experience
- Proficiency with calendar management tools (Outlook, Teams, Zoom, etc.)
- Ability to work onsite fulltime
- Due to our ITAR and EAR regulations, applicants must be a US Citizen or of Legal Permanent Resident Status as defined by 8 U.S.C. 1324b (a) (3).
Preferred Qualifications
- Experience using UKG (UltiPro) or another enterprise HRIS or ATS system exposure
- Prior experience in Talent Acquisition, HR, event coordination, or administrative scheduling
- Familiarity with travel coordination or corporate travel systems
- Experience supporting multiple recruiters or stakeholders simultaneously
- Comfort working in environments with evolving processes and rapid growth
- Knowledge of HR Law, policies and principles strongly desired.
Detailed Wage Information
- Wage range for this role is between $22 - $32 an hour plus a discretionary bonus, 401(k) matching, vacation, and health benefits. Employees can also receive additional pay for off-shifts, off-site work, and access pay. The range provided is Janicki’s estimate of the base compensation for this role. Actual amount offered will be based on job-related and non-discriminatory factors such as experience, location, education, training, skills, and abilities
