About this role

Overview:

Executes day-to-day system administration and maintenance services to ensure the proper functioning of the applicant tracking system as well as other Talent Acquisition-related systems. Provides training to field associates on the use of these systems. Ensures system security and employee data privacy. Works with supervision and is responsible to make an established range of decisions, updating the Manager on a regular basis.

Responsibilities:

What you will do:

  • Acts as a system administrator of iCIMS, the applicant tracking system (ATS) and other Talent Acquisition-related systems. Oversees day-to-day system administration and maintenance services to ensure the proper functioning of the systems.
  • Troubleshoots and resolves system issues including but not limited to the following categories: assessments, onboarding, dashboard reports, workflow entrance criteria, etc.
  • Ensures all users/administrators have access to systems at all times, at the appropriate level of security. Controls permissions and creates/maintains login groups, grants permissions to users.
  • Serves as the subject matter expert for the applicant tracking system for field and Agency associates.
  • Ensures appropriate custom/ad-hoc reporting needs are met. Works with team to run scheduled reports as well as runs error reports/audits and ad-hoc reports as directed
  • Creates and provides training tools as needed, including Standard Operating Procedures (SOPs), user guides, online courses, etc. Trains new employees on the ATS and other Talent Acquisition systems and trains existing employees on any upgrades to the ATS.
  • Manages the steps of the pre-hire onboarding process associated with moving candidates into internal HRIS systems.
  • Serves as a backup to the Talent Acquisition Coordinator.
  • Performs other duties as assigned.
  • Complies with all policies and standards.
Qualifications:
  • Bachelor's Degree in Human Resources or equivalent or commensurate experience - Required
  • Administrative experience with an ATS or HRIS systems. - Preferred
  • Proven ability to grasp and apply computer and other technical concepts. - Required
  • Displays the ability to identify and research problems. - Required
  • Demonstrated excellent verbal and written communication skills with proven ability to convey information to internal and external customers in a clear, focused and concise manner. - Required
  • Possess the skills to effectively interact and communicate with all levels of staff and management. Exhibits concern for customers' needs; ability to remain patient while supporting customers. - Preferred
  • Must demonstrate a strong attention to detail with excellent organizational skills. Expected to cite examples of organization and time management/methods used to manage or prioritize workload demands. - Required
  • Proficient in Microsoft Office products. - Required

Work Setting/Position Demands:

  • Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Requires the ability to verbally communicate and exchange accurate information to customers and associates on a regular basis.
  • Requires visual acuity to read and interpret a variety of correspondence, procedures, reports and forms via paper and electronic documents, visual inspection involving small defects; small parts, and/or operation of machinery (including inspection); using measurement devices continuously. Visual acuity is required to determine accuracy, neatness, and thoroughness of work assigned.
  • Requires the ability to prepare written correspondence, reports and forms using prescribed formats and conforming to rules of punctuation, grammar, diction, and style on a regular basis.
  • Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts, and draw valid conclusions
  • Performs substantial movement of wrists, hands, and fingers for continuous computer work.
  • Extended hours required during peak workloads or special projects/events.
