Cedarville University invites applications for an Administrative Assistant in University Human Resources (UHR). The UHR Assistant provides welcoming, confidential, and service-oriented support across HR operations. This position ensures accurate and timely processing of employee actions, assists with onboarding and compliance, and serves as a responsive point of contact for faculty, staff, student employees and applicants. By combining attention to detail with a customer-focused mindset, the UHR Assistant contributes to an efficient and professional HR environment. This is a full-time, non-exempt position (2080 annual hours) that reports to the Associate Vice President for UHR.
ESSENTIAL FUNCTIONS OF THE POSITION:
- Serves as a welcoming first point of contact, addressing HR-related inquiries with professionalism and directing visitors appropriately.
- Assists with onboarding documentation and I-9 verification through the HRIS system, ensuring compliance and a smooth start for new employees.
- Provides administrative support to the AVP and team members of UHR with projects as requested.
- Maintains accurate digital and physical records using systems or shared drives to ensure data integrity and audit readiness with privacy focused on all materials and information related to HR responsibilities.
- Coordinates scheduling, correspondence, and reporting to support HR operations, training sessions, and special projects.
- Supports HR communications, campus events, and process improvement initiatives that enhance employee engagement.

MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- Two or more years of administrative experience in human resources, higher education, or a customer service setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Teams) and ability to learn HR information systems.
- Demonstrated attention to detail, accuracy in data entry, and ability to maintain confidentiality.
- Strong written and verbal communication skills with a customer service orientation.
PREFERRED QUALIFICATIONS:
- Associate’s degree or coursework in human resources, business administration, or a related field.
- Experience with HR systems, digital onboarding platforms, or personnel record management.
- Familiarity with university operations, employment documentation, or compliance procedures.
- Proven ability to manage multiple priorities in a fast-paced environment while maintaining professionalism and accuracy.
REQUIRED MENTAL/PHYSICAL ABILITIES:
- Must be able to communicate with people in person and via technological means.
- Must be able to bend to access files.
- Must be able to maneuver stairs due to the building layout.
- Ability to lift up to 40 lbs.
ENVIRONMENTAL CONSIDERATIONS:
- This position operates in a professional office setting within the UHR department. It involves regular interaction with faculty, staff, and students and requires handling of confidential and sensitive information. Tasks will involve extended periods of computer use and physical activity such as climbing stairs and lifting.
